Summary of the Job: (Primary function of the job)
Responsible for managing end-to-end HR and payroll operations for Singapore and Malaysia employees. The role covers recruitment, onboarding and offboarding, payroll processing, statutory submissions, employee benefits, work pass applications, training coordination, government claims, HR records, and employee queries. The position will also provide support for company events, workplace safety matters, and general HR and administrative activities.
Job Responsibilities: (Key responsibilities of the job)
1) HR & Administration
Manage the full recruitment process, including job advertisement, candidate screening, interviews, and selection.
Handle application and renewal of employee work passes.
Facilitate onboarding and offboarding processes for employees.
Conduct new hire orientation and ensure all onboarding documentation is completed.
Create and maintain employee records in the ERP and Infotech payroll systems.
Maintain accurate physical and electronic HR files and employee databases.
Attend to employee-related matters and HR queries in a timely and professional manner.
2) Payroll & Employee Benefits
Manage payroll processing for both Singapore and Malaysia employees, including preparation of payroll and CPF-related reports.
Process and submit CPF contributions.
Review staff attendance and overtime records and assist with month-end payroll processing.
Generate monthly overtime and cost centre reports for HODs.
Prepare and submit IR21 tax clearance for departing employees.
Handle employee insurance and medical benefits administration.
Maintain strict confidentiality of employee salary and personal information.
3) Government Claims & Training
Manage government claims, submissions, and applicable grants.
Coordinate and arrange employee training programmes.
Apply for relevant training grants and maintain accurate training records.
4) Workplace Safety & Administration
Participate as a member of the Workplace Safety and Health (WSH) Risk Assessment team.
Support company events and activities, including Dinner & Dance, team-building activities, and other staff engagement events.
Maintain records of company asset acquisition and disposal.
Manage the ordering and issuance of employee uniforms and safety shoes.
Assist with other HR and administrative matters as assigned.
Job Requirements:
Diploma or Degree in Human Resource Management, Business Administration, or a related discipline.
Minimum 5 years of relevant HR experience, preferably with exposure to both Singapore and Malaysia HR operations.
Hands-on experience in payroll processing and statutory submissions.
Good knowledge of Singapore employment practices and HR administration.
Experience with Infotech payroll software and ERP systems will be an advantage.
Strong organisational and administrative skills, with good attention to detail.
Good communication and interpersonal skills.
Able to handle confidential information with discretion.
Able to work independently and manage multiple priorities effectively.
