The responsibilities of this role are:
- Provide general administrative support for the research programme.
- Monitor research student milestones and maintain progress records, and compliance with programme requirements.
- Coordinate Qualifying Examination by managing eligibility checks, examiner appointment and scheduling of oral examination.
- Manage thesis submissions including format checks, document verifications, examiner nominations.
- Organise oral defences by scheduling panels, handling venue/online setup and processing post-defence documents.
- Manage admissions-related correspondence and maintain accurate applicant records and documentation.
- Coordinate and schedule admission interviews, providing administrative and logistic support to the evaluation committee members.
- Manage the end-to-end process for Visiting Students applications, including applicant communication, document verification, and ensuring all required documents are submitted.
- Coordinate with Office of Global Education and Mobility (OGEM) and relevant committees to process applications and prepare official documents such as Invitation Letters, Enrolment Letters and Certificates of Completion.
- Oversee student onboarding logistics and process students conference requests.
The ideal candidate will need to have the following qualities and experience:
- Diploma or degree in any relevant fields.
- Understanding of university administrative processes, particularly in postgraduate admissions and programme management.
- Experience in programme administration is essential, preferably within a higher-education or postgraduate setting.
- Prior involvement in admissions support, student services, or academic administration is advantageous.
- Strong organisational and time management skills, with the ability to handle multiple tasks and deadlines.
- Proficiency in Mircrosoft Office suite applications (Excel, Word, Outlook).
- Excellent written and verbal communication skills.
- High level of accuracy and attention to detail in record-keeping and document handling.
- Strong interpersonal skills and ability to work collaboratively with faculty, staff and students.
- Meticulous and detail-oriented in all administrative tasks.
- Willingness to learn, adapt, and acquire new knowledge or skills as required.
- Proactive, reliable, and able to work independently with minimal supervision.
