About NXAC

NXAC is a newly established research and translation centre under the National University Health System (NUHS). The Centre brings together clinicians, engineers, and research scientists to advance three converging frontiers - Advanced Connectivity, Spatial AI, Embodied AI - and to translate them into deployable solutions.

NXAC has been designed from the outset for translation, with an operating model that bridges academic research and commercial deployment so that discoveries can move rapidly from laboratory to clinic to market, both within NUHS and through partner health systems regionally and internationally.

NXAC is seeking a capable and highly organised individual to drive the planning, coordination, and delivery of the Centre's research programs and operational initiatives. Working at the heart of a fast-moving, multi-disciplinary centre, the Head of PMO will orchestrate projects that span clinical teams, engineering and research groups, industry partners, and institutional stakeholders, ensuring that programs are delivered on time, within budget, and to a high standard of governance.

Key Responsibilities

Project planning and delivery

  • Plan, coordinate, and manage the end-to-end delivery of research and translational projects across the Centre's research domains, from initiation through to closure.
  • Develop and maintain project plans, schedules, budgets, risk registers, and resource allocations, tracking progress against milestones and deliverables.
  • Coordinate cross-functional project teams comprising clinicians, researchers, engineers, and external partners, ensuring clarity of roles, dependencies, and timelines.
  • Identify, escalate, and manage project risks and issues proactively, developing mitigation plans and driving their resolution.

Stakeholder coordination and communication

  • Serve as the primary point of coordination between project teams, industry partners, institutional offices, and funding agencies.
  • Organise and support project meetings, steering committees, and working groups, including preparation of agendas, minutes, and follow-up on action items.
  • Prepare clear and timely progress reports, dashboards, and presentations for the Centre Director, NUHS senior management, funders, and partners.

Grants, budgets, and compliance

  • Support the preparation, submission, and administration of grant applications and funded projects, including milestone reporting and budget utilisation tracking.
  • Monitor project expenditure against approved budgets, working with finance teams on forecasting, variance analysis, and claims.
  • Ensure that projects comply with institutional, regulatory, ethical, and data governance requirements, including research ethics approvals where applicable.

Operations and continuous improvement

  • Contribute to the development of the Centre's project management frameworks, templates, and standard operating procedures.
  • Support procurement, vendor management, and contracting processes in collaboration with institutional offices.
  • Capture lessons learned and drive continuous improvement in how the Centre plans and delivers its work.
  • Lead the Project Management Office and nurture the talent pool and development pipeline of PMO personnel

Responsibilities

  • A good undergraduate degree in a relevant discipline (such as science, engineering, healthcare, business, or management).
  • At least 3-5 years of project management experience, ideally within healthcare, research, technology, or other complex multi-stakeholder environments.
  • Demonstrated ability to manage multiple concurrent projects with competing priorities and deadlines.
  • Strong command of project management practices and tools, including planning, budgeting, risk management, and reporting.
  • Excellent written and verbal communication skills, with the ability to engage effectively with clinical, technical, and administrative stakeholders.
  • Meticulous attention to detail, sound judgement, and a proactive, solutions-oriented approach.
  • Proficiency in common productivity and collaboration tools (such as Microsoft Office and project management software).
  • Professional project management certification (such as PMP, PRINCE2, or Agile/Scrum credentials).
  • Experience managing research grants or publicly funded programs, including familiarity with national funding agency requirements.
  • Exposure to healthcare, medical technology, digital health, or deep-technology settings.
  • Experience coordinating projects involving industry partners, contracts, and intellectual property considerations.
