Job Description

The applicant must possess
  1. a recognized degree in business administration, hospitality or property management or related disciplines
  2. a minimum of 10 years post-qualification work experience in corporate administration within a sizeable organization or the public sector, experience must include managing outsourced contractors, overseeing multiple office locations, and supervising staff at various levels
  3. experience in facilities or property management, with strong customer service capabilities and exposure to project management preferred
  4. solid knowledge and hands-on experience in smart office applications and automation technologies in corporate administration
  5. well versed in handling insurance and property leasing matters
  6. excellent interpersonal, communication and presentation skills, with the ability to work effectively with a wide range of stakeholders and
  7. excellent command of written and spoken English and Chinese, with experience in preparing manuals, assignment briefs and discussion papers is an advantage.

Duties include
  1. to lead the Corporate Administration Team in delivering high-quality administration services across approximately 20 CIC premises, including offices, training campus, outdoor training grounds and the Zero Carbon Park, as well as to support administration and operational matters of CIC-managed quarters or accommodation facilities when required
  2. to formulate, review and update corporate administration policies and procedures, develop service standards and update the operation manual to align with CIC's ongoing development and operational needs
  3. to oversee planning, resource allocation, and budgeting for corporate administration and facility-related operations
  4. to plan, negotiate and manage outsourced service contracts, including cleaning, security, call centres, dispatch and mailing, office management automation systems, car pool, printing and stationery supply, landscaping, and other facility management-related services, and to monitor the performance of the vendors to ensure service quality
  5. to co-ordinate administrative support for office renovations, facility upgrades, and relocation projects, ensuring smooth execution and minimal disruption to operations
  6. to manage insurance, property leasing and tenancy-related matters for CIC premises and designated facilities
  7. to support the exploration and adoption of new technologies and smart solutions in corporate administration and facility management to enhance operational efficiency and effectiveness and
  8. to carry out any other duties as assigned from time to time by the Executive Director.
