Job Description

We are seeking a proactive and detail-oriented individual to support the management of research grants, contracts, events, and programme activities. This role requires strong coordination skills, stakeholder management, and the ability to work across multiple functions to support research and programme operations.

Key Responsibilities

1. Grant Management

  • Support the end-to-end management of grants, including planning, application, monitoring, execution, and closure of projects.
  • Work closely with principal investigators and internal/external stakeholders to ensure smooth grant administration.
  • Assist with grant budgets, expenditure tracking, variations, and deliverables to maximise resource utilisation and accountability.
  • Manage finance-related and procurement matters, including preparation of statements of research grant accounts, and processing of grant claims, purchases, and reimbursements.
  • Ensure timely, accurate, and compliant support for research activities in line with institutional and funding agency requirements.

2. Contracts Management

  • Manage the administration of research contract agreements, including RCA, PA, NDA, and MOU.
  • Work in close partnership with the NUS Contracts Team and internal stakeholders to coordinate contract review, execution, amendments, and tracking.
  • Ensure compliance with institutional policies and regulatory requirements.
  • Support the timely commencement and continuity of research activities.

3. Events Facilitation

  • Assist the Events Lead/Team in planning and coordinating events such as recruitment visits, seminars, scientific workshops, and conferences.
  • Support event execution to achieve programme deliverables.

4. Programme Business Partner Support

  • Assist the Programme Chair in tracking the TRP budget and coordinating TRP activities.
  • Support the organisation of strategic retreats, annual TRP reviews and presentations, and Scientific Advisory Board visits.
  • Contribute to the successful delivery of programme objectives.

Qualifications

  1. Diploma/Bachelor's degree in any field
  2. Minimum 6 years working experience, with at least 2 years in research administration, preferably in tertiary institutions.
  3. Highly organized individual and adaptable to a dynamic work environment.
  4. Exhibits initiative and the ability to work under pressure/deadlines.
  5. Excellent command of English, both written and spoken.
  6. Strong interpersonal skills and the ability to work effectively with a diverse group of internal and external colleagues and stakeholders.
  7. Proactive approach to problem solving.
  8. Proficient in Microsoft Word, Excel and Powerpoint applications.
  9. Candidates with experience in management of research grants and contracts agreements are preferred.
