About The Role

The Administration & Operations Manager (Project Manager) takes responsibility of sales operations and administration work at Gap Taiwan. This role communicates and works closely with every function of Taiwan. It supports field team and manages contracts, company chops, ad hoc banking requirements, and statutory request. It also supports Taiwan Country Manager in terms of daily schedule and general administration including preparation of meeting documents.

What You'll Do

Contract Management

  • Manage all physical hard copies in a storage location in Taipei. Collaborate with stakeholders, particularly Real Estate, Sourcing and Legal, to maintain contract management systems (including scanning physical documents into shared location) to ensure compliance with Gap Inc retention policy. Support audit requests, as necessary.

Company Chop

  • Manage BP requests and seek approval from Taiwan Rep Director. Maintain chop process and keep a log of chop requests for audit purposes. Keep the physical chop in secure location within the Taipei office.

Support Revenue Accounting in ad hoc communication with landlords to reconcile store sales statements and Fapiaos

Support ad hoc banking and statutory requests

  • Local contact for Tax Bureau, Banks, and Auditors on ad hoc basis, to resolve any open issues with Finance team
  • Support HR with financial reconciliations for Welfare Committee (legally required)
  • Manage and support Stamp Tax requirements
  • Manage and support Flagship/Standalone stores invoices and legally required certificates (Fapiao)

Sales operations

  • Communication with supply vendors and local Taiwan warehouse management vendors
  • Managing store supplies (ex. shopping bag, gift boxes, stationery) including ordering and budgeting
  • Managing local Taiwan fixture vendors for pop-up events
  • Distributing information in Taiwanese to Taiwan stores using Zipline
  • Leading store operations for move-in, move-out, and disposal during new store openings and closures

Managing office daily operations, such as office administration, scheduling, inventory, facility maintenance & Safety and compliance.

Administration and Coordination

  • Assist the Country Manager with Daily schedule coordination and general administration
  • Prepare meeting documents, presentations, and minutes, and follow up on action items.

Who You Are

  • Able to communicate and build relationships with all the functions in Taiwan to solve issues
  • Detail-oriented and highly organized to maintain accurate information when handling multiple high-priority projects simultaneously
  • Excellent communication skills, written and verbal
  • Excellent organizational skills
  • Strong sense of urgency and ability to manage multiple projects and tasks with a high level of detail and with outstanding accuracy
  • Strong computer skills (Excel, Word, PowerPoint, Outlook)
  • Demonstrated ability to partner with others and build relationships with all levels of management
  • Team approach to work and the ability to be very flexible
  • Bachelor's degree or higher, preferably in business administration, languages, or a related field
  • 3+ years of experience in project management is preferred
  • Fluent in both Chinese and English, with excellent oral and written communication skills
