Job Purpose
To supervise and manage Terminal Supply operational activities related to product receipt storage, distribution
and inventory levels of products in the concerned Terminals. Ensures that quality control and Work
Management system (WMS) requirements are always taken, and that appropriate documentation is in place for
the handling of product. Reviews and control inventory reconciliation process and ensure correct stock
statements generation. Ensures that product handling facilities comply with corporate standards and works with
maintenance team for proper repair and maintenance as and when required. Manages the Fire Fighting facilities
in the Terminal ensuring the system is in good operational condition and staff are trained to operate the system.
The Team leaders support overall performance and efficiency by developing and monitoring key performance
indicators (KPIs) throughout daily operations. They review and revise these KPIs based on many factors,
including order volume and personnel levels. Team leaders are responsible for ensuring that their teams
understand expectations and consistently meet or exceed KPIs, Annual Performance Management Contract
and the Balanced Score Card.
Job Specific Accountabilities
Supply Operations Planning and Operations
u2022 Coordinate with Supply Operations Support team for accurate preparation of weekly, monthly and
quarterly product demand plans based on the sales estimates provided by Retail Sales, Corporate sales
and Aviation department and existing stock and inventory level at ADNOC distribution terminals.
u2022 Ensures Quality Control of storage tank Ground products and JET A1 in line with ADNOC Specification.
u2022 Supervises staff in various concerned Terminal control rooms and prepares duty roster of control room
supervisors and operators. Ensures staffs have appropriate training and administrative support to
undertake the control room operation efficiently.
u2022 Coordinates with ADNOC Refining to receive pipeline transfer batches as planned in the 13 week plan
and prepares the pumping cycle requirements. Ensure the safe product receipt operation by pipeline
transfer and arranges for proper documentation as per company procedures.
u2022 Lead and ensure proper coordination with marine department regarding product receipts via ship
tankers and ensure the safe product receipt operation by Marine tankers transfer and arranges for
proper documentation as per company procedures.
u2022 Supervises the safe, secure and 24-hour operation of the product loading and unloading at the Terminal
including exercising quality control of the products stored to prevent contamination of product during
receipt, storage and loading.
u2022 Supervises the product receipt process at the Terminal through the jetty pipeline from marine vessels
and maintains coordination with marine staff during product discharge from marine vessels.
u2022 Liaises with Supply and Distribution Support Team concerning the receipt of and storage of products
to meet the dynamic stock levels as advised by management.
u2022 Supervises the delivery of product by pipeline transfer to customers
u2022 Supervises the back loading operation of vessels in seaside Terminals
u2022 Ensure coordination with Marine, Shipping agents, Ship captain for product delivery to Ships and to
ensure that delivery is in accordance with Quality standards (along with sample bottle & Quality
certificate) in time to avoid the demurrages.
u2022 Prepares the annual leave plan to ensure the staff are available to meet the shift manning
requirements
u2022 Ensures that customer complaints are attended as per the procedure.
u2022 Ensures all terminal automation system hardware and soft wares functioning properly in line with the
operations philosophy.
u2022 Coordinate with ADNOC/third party labs to ensure product receipt from internal customers as per the
standards.
u2022 Review and approve E-log shift hand over system
Equipment Maintenance
u2022 Liaises with Terminal maintenance staff in keeping meters properly calibrated, product pumps, valves,
pressure relief valves and associated paraphernalia properly maintained in accordance with the
Preventative Maintenance Program and on a required basis.
u2022 Review all operation and maintenance projects to ensure planning, organization and supervision,
verify the completeness and ensure that facilities delivered are safe, reliable in view of different
natures, diversity of each system, equipment & facilities and the complexity of the technology
involved.
u2022 Coordinates with the Maintenance team to keep the firefighting system in good repair and ensures the
availability of the system.
u2022 Coordinate with Terminal Automation team to report relevant faults and issues.
Inventory Control
u2022 Controls product losses/gains within approved limits and supervises the preparation of the daily
inventory reconciliation reports and investigate abnormalities.
u2022 Compiles monthly stock and product movement statements for all storage facilities and products at the
Terminals.
u2022 Ensure that the quality of the products is meeting the relevant specification limits as per company
standards.
u2022 Ensures sufficient quantities of dye material are available to be added into gasoline during the pumping
process and ensures that the correct ratios are blended for each delivery.
Inspection and Audit
u2022 Conducts periodic site inspections, observes staff, and prepares intermittent reports relating to
observance of fire and safety rules and regulations and staff adherence to same and training
requirements in these areas.
u2022 Conducts monthly audit of Work Permits to ensure the proper procedures are followed as per WMS
(Work Management Systems) rules and guide.
Performs other similar or related duties as and when assigned by Supply Operations Department
Manager
u2022 Conducts monthly audit of security seals usage and issuance log.
u2022 Participate in the Internal /External ISO and AIPS /PSM/ HSEMS audits
New Projects and Expansion
u2022 Review and provide technical support/ inputs for all major modifications and projects proposal related
to his areas of responsibility and coordinates their execution.
u2022 Participate in projects reviews like HAZOP, HSEIA, HAZID and Risk Assessment etc. as and when
required.
Performance monitoring, control and optimization
u2022 Leads development of periodic performance and achievements reports, including operating expenses
of Terminal/ terminals, inventory losses etc. and identify continuous improvements areas.
u2022 Support Supply Operations Department manager in planning, developing, and implementing new
methods and procedures designed to reduce overall supply operations costs and optimize the
utilization of manpower, materials and assets.
Minimum Requirements
u2022 Bacheloru2019s Degree in a relevant Engineering/Science Discipline or Business-related field.
Minimum Experience & Knowledge & Skills
u2022 10 Years of experience of terminal operations in Oil and Gas Industry, including 4-5 years at
managerial/supervisory level.
