Job Purpose
The Senior HR&GA Generalist is responsible for managing the full spectrum of operational Human Resources and selected General Affairs functions for BNE Asia. The role partners closely with business leaders to support manpower planning, recruitment, employee lifecycle management, performance management and employee engagement initiatives.
The Senior HR & GA Generalist also co-manages General Affairs operations, ensuring smooth day-to-day office administration and vendor coordination.
Key Responsibilities
1. Human Resources Operations
Talent Acquisition & Onboarding
- Manage end-to-end recruitment processes including job posting, candidate sourcing coordination, interview scheduling and offer preparation
- Work with hiring managers to understand manpower needs and job requirements
- Prepare and maintain job descriptions aligned with organisational structure
- Coordinate onboarding process including documentation and orientation.
Employee Lifecycle Management
- Prepare employment contracts, confirmation letters, promotion letters and other employment documentation
- Maintain employee records and HR database
- Coordinate probation confirmation process
- Conduct exit interviews and manage offboarding process
Employee Engagement & Culture Initiatives
- Support implementation of engagement action plans.
- Coordinate townhalls, employee communication initiatives, and internal events.
- Assist in engagement survey administration and reporting.
- Support You Said, We Did and follow-up action tracking.
- Assist in organising staff welfare and team-building initiatives.
Employee Relations & Compliance
- Act as first point of contact for employee queries and provide guidance on HR policies.
- Ensure compliance with local employment laws and company regulations.
- Uphold confidentiality and manage sensitive employee information responsibly.
HR Administration
- Maintain employee handbook updates
- Maintain HR templates and documentation standards
- Support HR audit documentation preparation
- Prepare HR reports including headcount movement and attrition data
Regional HR Coordination
- Support HR data consolidation for regional offices (Korea, Hong Kong and Taiwan)
- Coordinate HR information requests from regional stakeholders
- Support implementation of HR policies and processes across regional offices
- Monitor regional manpower updates
2. General Affairs (GA)
Office & Pantry Management
- Restock pantry supplies (daily/monthly).
- Manage inventory for snacks, beverages, utensils, and cleaning supplies.
- Maintain Nespresso machine servicing and capsule stock.
- Clear expired fridge items.
Procurement & Asset Administration
- Manage mail, courier, front desk reception, and visitor support.
- Coordinate vendor services for facility maintenance
- Manage monthly stationery top-ups and ad hoc purchases.
- Handle procurement of fixed assets such as laptops, mobile phones, and related equipment.
- Maintain asset inventory and documentation records.
- Coordinate IT equipment disposal and e-waste recycling.
Facilities & Maintenance Coordination
- Oversee printer maintenance and toner replacements.
- Coordinate servicing for air-conditioning, chilled water systems (server room), and electrical works.
- Liaise with building management and external vendors, including telecommunications providers and facilities service contractors (e.g. M1, MyRepublic, StarHub, Setelco).
- Arrange pest control services as required.
- Coordinate ad hoc maintenance such as plumbing and repair works.
Mailroom & Visitor Management
- Collect and distribute mails, parcels, and courier items.
- Assist with phone handling and front door/visitor access.
- Greet and attend to BNE Asia guests professionally.
Vendor & Insurance Support
- Assist with office liability insurance administration.
- Support vendor renewal tracking and documentation.
- Coordinate invoice submissions and payment processing (via Finance).
Others
- Lead or support process improvements for HR and GA functions.
- Perform any other ad hoc HR/GA-related tasks as assigned.
- Ensure HR & GA processes comply with Singapore Employment Act and related regulations.
- Maintain proper documentation for audit readiness.
- Adhere to internal control procedures aligned with Japan HQ governance expectations.
- Ensure confidentiality of employee and company information.
Requirements
Experience
- 5 -8 years of experience in HR generalist and/or office administration roles.
- Experience in Singapore-based SME or regional office environment preferred.
- Experience supporting employee engagement initiatives is advantageous.
Knowledge
- Good understanding of Singapore Employment Act.
- Familiarity with HR processes (recruitment, onboarding, payroll coordination).
- Experience managing vendors and office facilities.
