[What the role is]
Support SIRS end-to-end programme operations covering scheduling, system setup, course administration, reporting, and stakeholder coordination. Ensure accuracy, timeliness, and compliance across all processes while driving continuous improvements and supporting ad-hoc operational needs.
[What you will be working on]
Course Scheduling & Operations
- Plan and manage weekly training schedules, including trainer deployment and room allocation
- Ensure timely finalisation of schedules and handle last-minute changes or contingencies
- Provide day-to-day operational support to trainers and resolve issues promptly
System & Course Setup
- Manage end-to-end course configuration in STEP (course setup, intakes, timetables, catalogues)
- Process course intake requests and ensure alignment with master schedules
- Investigate and resolve system issues, liaising with vendors where required
Training Resources Management
- Coordinate procurement of training materials and ensure timely availability
- Maintain inventory and implement efficient resource planning practices
- Work closely with internal stakeholders to ensure readiness for course delivery
Course Administration & Compliance
- Perform end-to-end course administration, including attendance validation, assessment verification, and timely course closing, ensuring full accuracy and compliance with requirements.
- Ensure all documentation is complete, accurate, and audit-ready
- Maintain proper documentation and enable quick retrieval when required
Reporting & Data Management
- Prepare and submit weekly and monthly reports with high accuracy
- Track key operational metrics such as trainer deployment, course feedback and resource utilisation
- Maintain data integrity across systems and reporting platforms
Process Improvement & Efficiency
- Identify opportunities to streamline workflows and enhance operational efficiency
- Support implementation of process improvements, automation, or templates
- Contribute to continuous improvement initiatives across programme operations
Stakeholder Engagement
- Liaise with internal teams (e.g. Sales teams, HR, Finance) and external trainers
- Build strong working relationships to ensure smooth programme delivery
- Provide support to team members and contribute to a collaborative team environment
Others
- Undertake ad-hoc duties and projects as assigned by the Reporting Officer
