1. Job Functions
Programme Planning Support
- Guide home executives during their early planning stages, offering constructive feedback on schedules and activities.
- Help ground teams brainstorm ideas that match organizational standards and goals.
- Share useful resources, templates, and best practices to help ground teams plan efficiently.
Proposal Vetting & Communication
- Serve as the HQ contact for the program teams with the welfare homes.
- Check incoming program proposals for complete details, correct budget calculations, and basic alignment.
- Work directly with home executives to clarify details and request fixes to ensure smooth approvals.
Grant Documentation & Reimbursement
- Track how grants are being spent across your assigned homes.
- Collect and double-check all supporting paperwork, including receipts, attendance lists, and feedback forms.
- Prepare clear grant reimbursement submissions and organize data for funder impact reports.
Data Compilation & Support
- Gather and combine feedback data from residents, staff, and volunteers across the homes.
- Update and maintain central dashboards and registries for tracking program results and statistics.
- Provide hands-on administrative and operational support when launching major or brand-new initiatives.
Assist with PERTAPIS events & projects where required
2. Candidate Requirements
- Possess Minimum Diploma in a related field - preferably Human Resources, Hospitality or Event Management
- Preferably with Min. 2 years of experience in stakeholder management or volunteer-related work is advantageous
- Strong interest in community work, with a customer service orientation and good stakeholder awareness
- Strong data literacy - comfortable with checking metrics and verifying ground reports
- Familiarity with project management lifecycles and administrative tracking
- Outstanding verbal, written, and interpersonal communication skills
- Excellent communication and relationship-management skills to work effectively with both centralized HQ leadership and ground-level operational staff
- High organized, systematic and ability to multi-task and meet deadlines with minimum supervision
- Proficient in Microsoft Office (Word, PowerPoint, Excel)
