The Sales Process Assistant provides essential operational and administrative support to the sales organization, ensuring efficient execution of sales processes and high-quality customer engagement. This role focuses on sales support, bidding support, quotation preparation, equipment coordination, and procurement assistance. The position is office-based with limited travel requirements and works primarily in Mandarin, with occasional use of English in a professional business environment. This is an excellent opportunity for a recent graduate or an early-career professional to build foundational experience in sales operations and business support.

Responsibilities

  • Support the sales team throughout the sales process, including order booking, bidding activities and preparation of quotations and related documentation.
  • Coordinate equipment management activities, including tracking, allocation, printing, scanning, and documentation control.
  • Provide procurement and ordering support, ensuring accuracy, timeliness, and compliance with internal processes.
  • Maintain and update sales records, customer information, and transactional data in internal systems, including CRM platforms such as Salesforce.
  • Prepare reports, presentations, and spreadsheets using Microsoft Office tools, including Excel, PowerPoint, Outlook, and Teams.
  • Facilitate internal coordination between sales, procurement, logistics, and other supporting functions.
  • Handle general office and administrative tasks to ensure smooth daily operations.
  • Communicate effectively in Mandarin for daily work and use English as required for documentation, systems, or cross-functional coordination.

Qualifications

  • Bachelor's degree in business, administration, or a related field.
  • No prior work experience required, or up to 18 months of relevant working experience.
  • Proficiency in Microsoft Office applications, including Outlook, Excel, PowerPoint, and Teams, along with general office tools such as printing and scanning equipment.
  • Familiarity with CRM systems, particularly SalesForce, is preferred.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to manage multiple tasks and support deadlines in a structured office environment.
  • Fluent in Mandarin, with basic to intermediate proficiency in English for professional communication.
  • Proactive mindset, strong sense of responsibility, and willingness to learn and grow within a sales support function.
