Job Summary We are looking for a proactive and detail-oriented Project Assistant to support project managers in executing cross-functional initiatives. The ideal candidate will be responsible for coordinating internal approvals, assisting with partner and vendor engagement, and supporting daily project operations. This is a junior-level role well-suited for candidates with experience in administrative or assistant roles and exposure to enterprise-level or digital projects. _______________________________________________ Key Responsibilities 1. Project Coordination & Administrative Support: - Assist project managers in daily tasks, meeting scheduling, and task tracking. - Support document preparation, meeting notes, and follow-up action tracking. - Help monitor project timelines and deliverables. 2. Internal Approval Process & Vendor Coordination: - Support contract processing, including PR/PO/PA requests. - Coordinate with internal stakeholders for new vendor code setup and administrative workflows. - Liaise with procurement and finance teams to ensure smooth and compliant execution. 3. Partner & BU/BG Engagement: - Help arrange meetings with business units (BU/BG) and external partners. - Maintain clear communication and follow-ups to ensure alignment across stakeholders. 4. Reporting & Documentation - Maintain organized documentation in project management systems (e.g., - - SharePoint, Teams, Microsoft Planner). - Assist with tracking KPIs and preparing reports for project leads. _______________________________________________ Qualifications - College degree or above in Business Administration, Management, or related fields. - 1-3 years of experience in administrative, assistant, or project coordination roles. - Strong organizational and time management skills. - Good verbal and written communication in English and Mandarin. - Familiarity with digital tools (e.g., Microsoft Office, Teams, SharePoint) is a plus. - Experience with PR/PO/contract processes in enterprise environments is preferred.
