| Major Duties : |
| (a) | To handle and supervise procurement and store related activities including: |
| (i) | draft and vet tender specifications, recommendations and relevant documents |
| (ii) | select / explore sources of supplies |
| (iii) | prepare letters of acceptance, purchase orders, contract documents and other related documents |
| (iv) | conduct procurement of goods and services |
| (v) | monitor order processing, delivery of goods and services as well as contractors performance |
| (vi) | verify inventory record in the Inventory Management System (IMS) |
| (vii) | conduct annual stocktaking and arrange disposal of unused items by means of circulation or condemnation |
| (viii) | maintain and analyse purchase and supplies related statistics |
| (ix) | arrange contract variations / extensions and |
| (x) | maintain and update lists of registered suppliers / contractors |
| (b) | To ensure the procurement and supplies operations are in full compliance with the laid down policies, rules and procedures |
| (c) | To assist in supervising the daily administration and operations of the finance and procurement unit |
| (d) | To operate computerised procurement and supplies systems and |
| (e) | To supervise the work of executive assistants (or equivalent) and to monitor their performance. |

| Requirements : |
| (a) | (i) | Level 2 or above in 5 subjects, including English Language., Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^ OR |
| (ii) | Level 2 / Grade E or above in 5 subjects including English Language (Syllabus B)., Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE) OR |
| (iii) | Diploma of Applied Education + Maths Plus / Diploma Yi Jin + Maths Plus / Project Yi Jin OR |
| (iv) | a recognised Certificate / Diploma / Foundation Diploma / Foundation Certificate / Diploma of Foundation Studies OR |
| (v) | a recognised Associate Degree / Higher Diploma or above. |
| . | Completion of Hong Kong Vocational English Programme (HKVEP) at Level 2 / Passing 5 specific VTC's Vocational English Module Certificates is considered an alternative qualification. |
| ^ | Attained in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects. |
| (b) | At least 6 years of relevant work experience in the capacity of Executive Assistant (or equivalent) rank |
| (c) | Preferably with a recognised Certificate / Diploma in purchasing and supply management or store supervision, or equivalent |
| (d) | Good time management, administrative, interpersonal and communication skills |
| (e) | Self-initiated and well-organised |
| (f) | Ability to work independently and under pressure |
| (g) | Good language proficiency in English and Chinese, knowledge of Putonghua will be an advantage and |
| (h) | Proficiency in common office application software. |

| (2) | Applicants with substantial experience and achievements in the relevant field but without the required academic / professional qualifications OR those with exceptional academic / professional qualifications but with less experience may also apply. |
