Job Description

Key Responsibilities

PMO Operations & Governance

  • Support day-to-day PMO activities across multiple projects and workstreams.
  • Assist in ensuring project teams follow established governance standards, reporting requirements, and internal processes.
  • Coordinate project reviews, governance meetings, steering committee updates, and management reporting.
  • Work closely with Project Managers, Delivery Leads, business stakeholders, and client teams on project-related activities.
  • Maintain project documentation, action logs, decision records, and shared repositories to ensure information is complete and up to date.

Project Financial Tracking

  • Support project financial tracking and reporting activities.
  • Monitor project budgets, expenditure, committed costs, forecasts, and funding utilisation.
  • Assist in identifying budget variances, cost trends, and potential financial issues.
  • Support invoice verification, budget reconciliation, accruals, and other month-end financial activities.
  • Assist with preparation of financial reports, dashboards, and management updates.
  • Support Project Managers with budgeting, forecasting, funding requests, and project financial documentation.
  • Coordinate with Finance, Procurement, vendors, and project teams on invoices, payments, and budget-related matters.

Project Tracking & Reporting

  • Maintain project information across timelines, deliverables, risks, issues, dependencies, resources, and financials.
  • Assist in preparing weekly and monthly project status reports.
  • Track milestones, outstanding actions, risks, and issues and follow up with relevant stakeholders.
  • Maintain PMO trackers, dashboards, and reporting tools.
  • Support project governance reviews, audits, and compliance checks.
  • Identify discrepancies in project data and help improve reporting processes.

Project Administration & Resource Support

  • Support Project Managers with invoices, purchase requests, vendor payments, and timesheet tracking.
  • Coordinate resource onboarding, offboarding, access requests, and project logistics.
  • Maintain resource trackers, utilisation reports, leave plans, and workforce information.
  • Organise project meetings, workshops, and stakeholder sessions.
  • Prepare meeting minutes, record key decisions, and track action items through to closure.
  • Maintain shared project folders and ensure documents are properly organised and version-controlled.

Requirements

  • Experience in PMO, project coordination, project administration, business operations, finance operations, or programme support.
  • Exposure to project budgeting, cost tracking, financial reporting, invoicing, or forecasting is preferred.
  • Good proficiency in Microsoft Excel, including Pivot Tables, Lookups, data analysis, and reporting.
  • Experience with Power BI, Jira, Confluence, MS Project, or other project/reporting tools would be advantageous.
  • Strong organisational, analytical, and stakeholder-management skills.
  • Good attention to detail and ability to manage multiple priorities.
  • Comfortable working in a fast-paced project environment.
  • Experience supporting technology, transformation, government, or public-sector projects would be advantageous.
