Location: Taipei, Taiwan

JOB SUMMARY

Gizmospring is looking for a People Operations Coordinator to help create an organized, welcoming, and high-functioning workplace where people can do their best work.

This role serves as the backbone of the office and employee experience, owning everything from office operations and vendor management to team events, workplace organization, and day-to-day people support. You will work closely with leadership and act as a mini People & Culture lead, helping maintain the environment, systems, and culture that make Gizmospring a great place to work.

The ideal candidate is highly organized, proactive, detail-oriented, and enjoys taking care of both people and the workplace. You are someone who notices the little things, has strong emotional intelligence, and takes pride in creating a positive experience for everyone around you.

KEY RESPONSIBILITIES

1. Office Operations & Workplace Management

  • Own the day-to-day operations of the Taipei office
  • Ensure the office remains organized, clean, safe, and well-maintained
  • Manage office security, access control, and related procedures
  • Coordinate with building management and external service providers
  • Create a welcoming environment for employees and visitors

2. Vendor & Facilities Management

  • Manage relationships with office vendors and service providers
  • Coordinate repairs, maintenance, and facility-related issues
  • Oversee pantry supplies, snacks, beverages, and office supplies
  • Track inventory and ensure resources are available for the team
  • Continuously look for ways to improve the office experience

3. Employee Experience & Culture

  • Support employee engagement initiatives and foster a positive workplace atmosphere
  • Plan and coordinate company events, team lunches, celebrations, trips, and other activities
  • Help onboard new employees and ensure they have a great first-day experience
  • Act as a friendly and approachable point of contact for employees
  • Bring empathy, emotional intelligence, and a service mindset to daily interactions

4. Administrative & Financial Support

  • Manage light budgeting and track office-related expenses
  • Prepare expense reports and maintain records for invoices and purchases
  • Coordinate payments and work with vendors on billing matters
  • Support miscellaneous administrative projects as needed

5. People Operations Support

  • Partner with leadership to maintain and strengthen company culture
  • Assist with People & Culture initiatives and internal communications
  • Help improve processes and employee experience across the organization
  • Support ad hoc projects that contribute to building a great workplace

REQUIREMENTS

·     At least 3 years of experience in Office Management, People Operations, Executive Administration, Workplace Experience, or similar roles

·     Strong organizational skills and the ability to manage multiple priorities

·     Excellent communication and interpersonal skills

·     High emotional intelligence and a genuine desire to support others

·     Strong attention to detail and a proactive, ownership-oriented mindset

·     Comfortable working in a fast-paced and evolving environment

·     Experience coordinating vendors, budgets, events, and office operations

·     Good English communication skills
