Position Summary
The Order Fulfillment Associate is responsible for supporting daily order processing and fulfillment operations to ensure smooth and timely product delivery. This role will work closely with the Sales, Supply Chain, Finance, warehouse, distributors, and third-party logistics partners to maintain efficient business operations.
Key Responsibilities
Order Management
- Process customer purchase orders and ensure accurate order entry into the system.
- Review purchase orders and verify pricing, quantities, product availability, and delivery requirements.
- Monitor order status and proactively follow up on pending orders, backorders, and delivery schedules.
- Prepare and maintain order-related documentation and records.
- Coordinate order changes, cancellations, and returns when necessary.
Fulfillment and Logistics Coordination
- Coordinate with warehouses, distributors, and third-party logistics providers to ensure timely fulfillment and delivery.
- Track shipments and resolve delivery issues in a timely manner.
- Support inventory allocation and replenishment activities.
- Monitor stock availability and communicate potential supply risks to internal stakeholders.
- Assist in maintaining inventory accuracy and conducting regular inventory reconciliation.
Supply Chain and Operations Support
- Work closely with Sales and Supply Chain teams to ensure smooth execution of customer orders.
- Update and maintain fulfillment reports, inventory reports, and operational dashboards.
- Support demand planning and sales forecasting by consolidating order and inventory data.
- Assist in the implementation and improvement of fulfillment processes and operational workflows.
- Ensure compliance with company policies and standard operating procedures.
Cross-functional Coordination
- Liaise with internal departments, including Sales, Finance, Marketing, and Customer Service, to facilitate efficient operations.
- Coordinate with suppliers and external partners regarding order status and shipment arrangements.
- Support new product launches and promotional activities by ensuring sufficient inventory and delivery readiness.
Other Responsibilities
- Prepare regular operational reports and performance analyses.
- Handle ad hoc assignments and projects as assigned by management.
Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or related fields.
- 1-3 years of experience in order fulfillment, supply chain, logistics, sales operations, or related functions is preferred.
- Proficient in Microsoft Office applications, especially Excel.
- Experience with ERP systems (such as SAP, Oracle, or NetSuite) is an advantage.
- Strong organizational skills with attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Good communication and interpersonal skills.
- Proficiency in English and Chinese is preferred.
