The Asia-Pacific region for CooperVision has been growing rapidly and a strong contributor to the ongoing success of the global business. CooperVision Taiwan has 2 offices of a commercial sales and marketing operations and a distribution center with total headcount about 60. As CooperVision Taiwan continues to grow, there is a need for upgraded administrative support on the 2 office supervision.

The role of Office Supervisor & EA will provide administrative and light secretarial support for the GM of HKTW & SEA and local Taiwan GM while executing and managing the daily administration of the two CVI Taiwan offices in Taipei & New Taipei.

Responsibilities

Essential Functions & Accountabilities:

Office Administration (80%):

This role will manage the daily administration for both Taipei office and New Taipei office which will include:

  • Liaising with the landlord on building management as needed;
  • Oversee office cleanliness and hygiene, supervising cleaning vendor to ensure a professional and welcoming environment.
  • Handle front desk and reception duties, including greeting visitors and managing incoming calls.
  • Responsible for incoming and outgoing deliveries (including physical mail; couriers, vendors and suppliers);
  • Managing the procurement of office and pantry supplies and other items as needed, including process purchase orders and payment requests.
  • Manage office assets, including inventory checks for laptops, mobile phones, access cards, furniture and office fitting ; ensuring the all are operational and maintained;
  • Provide basic on-site IT support and serve as the main point of contact for IT-related or equipment issues;
  • Arrange for refreshment for meetings / office events.
  • Ad-hoc duties related to the office and employee experience.

Executive Administrative Support (approx. 20%):

This role will provide administrative and light secretarial support for the GM of HKTW & SEA and local Taiwan GM (list can get amended in the future as business changes):

Administrative and light secretarial support will include:

  • Booking calls and meetings, resolving calendar conflicts;
  • Making travel arrangements and applying for travel visas;
  • Prepare Concur expenses claims;
  • Coordinating approvals / signatures for necessary documents;
  • Any other miscellaneous administrative tasks such as printing reports or uploading documents into shared folders;

Qualifications


Must possess:

  • A high level of proficiency in Word, PowerPoint and Excel;
  • Verbal and written English language skills appropriate for business communication.
  • Excellent time management, interpersonal, communication, organizational & coordination skills;
  • The ability to work with both speed and accuracy;
  • The ability to work independently using your own initiative;
  • The ability to balance and prioritize multiple conflicting requirements;

Experience:


  • At least 5 years of relevant experience in a fast-paced, multinational company.
  • Prior experience managing the administration of an office would be an advantage.

Education:


  • Bachelor Degree in business related studies.
