The Role

The Office Operations Specialist supports the overall office operations, ensuring a safe, efficient, and collaborative working environment. This role assists the Office Manager in administrative coordination, facility oversight, vendor management, and employee services. The Office Operations Specialist is a key contact point for internal stakeholders and external service providers, and may take charge of office operations in the absence of the Office Manager.

Your Key Responsibilities Will Include

Office Operations & Facility Management

  • Support daily office operations to ensure smooth functioning of the workplace.
  • Assist in space planning, seating allocation, meeting room coordination, and office layout arrangements.
  • Oversee maintenance, office assets, equipment, pantry supplies, and utilities.

Administrative Support

  • Coordinate courier services, mail distribution, and document handling.
  • Support company events, meetings, workshops, Townhalls, and office functions.
  • Manage and maintain administrative records, inventories, and digital filing systems.

Procurement & Vendor Management

  • Support contract negotiation, purchasing, invoice processing, and vendor coordination.
  • Liaise with suppliers (cleaning, facilities, office supplies, IT support*).
  • Track service level, quality compliance, and cost efficiency.

Employee Services & Front Desk Support

  • Provide general administrative support to employees; respond to office-related queries.
  • Assist in onboarding/offboarding preparations (access cards, seating, welcome packs).
  • Support external guests/visitors and reception services.

Compliance, Safety & Policies

  • Ensure office standards comply with corporate policies and local regulations.
  • Support emergency response planning, safety drills, and HSE awareness.

Substitute Responsibility

  • Serve as acting Office Manager when required.
  • Support cross-office collaboration and administrative alignment initiatives.

Work environment

  • Office-based role with occasional interaction with contractors and vendors.
  • May require occasional early/late coordination depending on operational needs.

Your Experience

  • Bachelor's degree in Business Administration, Facilities Management, Safety Management, or related field.
  • 3+ years of office administration, facilities, or operations experience preferred.
  • Must hold valid safety-related certifications, including Fire Safety Manager Certification (Fire Warden Training).
  • Hands-on experience supporting workplace safety initiatives (fire drills, emergency evacuation, safety inspections) is considered a strong advantage.
  • Experience working in multinational or cross-functional environments is preferred.
  • Strong interpersonal, coordination, and communication skills, with good written and spoken English and local language.
  • Detail-oriented, proactive, and capable of multitasking.
  • Problem-solving mindset; ability to handle unexpected situations calmly.
  • Service-minded, collaborative, and professional, with high accountability, and the ability to work independently.
  • Proficient in MS Office; familiarity with procurement tools and office systems.
