Job Overview:

We are looking for a proactive and highly organized Office Manager & Back Office Administrator to support daily operations in our soon-to-open office in Taipei.

This role will be pivotal in building efficient office operations from the ground up, supporting a fast-growing team and acting as a key point of reference for administrative, organizational, and operational activities. The position will work closely with international stakeholders and will support the company's rapid expansion, including the upcoming growth of our team in Taipei.

The position combines back-office, administrative, and office coordination responsibilities and contributes to building efficient internal processes across a geographically distributed organization.

The ideal candidate thrives in dynamic environments, enjoys wearing multiple hats, and is comfortable supporting both local and international teams in a high-growth, tech-driven context.

Responsibilities:

  • Manage and process administrative and back-office documentation, including filing, data entry, record management, and internal reporting
  • Provide administrative and operational support by monitoring internal processes, managing orders, suppliers, and internal workflows
  • Support the preparation of reports and company documentation upon request from the leadership team
  • Ensure quality control and compliance by verifying that procedures, data, and documents meet company policies and regulatory standards
  • Support accounting activities, including issuing and recording invoices, managing expense reports, and liaising with external accountants and auditors
  • Coordinate with the HR department on administrative matters related to employees and external collaborators
  • Oversee the daily management of the office, including front desk activities, welcoming clients and candidates, and managing visitor registration
  • Organize and book business travel, meetings, and company events, and provide general secretarial support such as calendar management
  • Manage office supplies, snacks, and company materials, ensuring common areas are well maintained and properly organized

Requirements:

  • Previous experience in office management, back office, or administrative roles, preferably in fast-growing or international environments
  • Solid knowledge of administrative processes, documentation management, and internal workflows
  • Basic understanding of accounting activities (invoicing, expense reports) and experience liaising with external accountants or auditors
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a dynamic environment
  • Proactive, reliable, and hands-on attitude, with a problem-solving mindset
  • Ability to work independently while collaborating effectively with local and international teams
  • English fluent and Mandarin mothertongue
  • Proficiency with common office tools (Google Workspace, Microsoft Office or equivalent)

Salary range:

500K-700K TWD
