Job Description

About the Role

We are looking for a detail-oriented and adaptable Office Admin Executive to support our daily office operations and HR shared services. This is a dynamic role where you will handle both administrative duties and HR processes, including employee records, insurance and training coordination.

What You'll Do

1. Office Administration

  • Manage day-to-day office operations, supplies, and documentation

  • Oversee stationery and pantry supplies (ordering, stocking, inventory)

  • Process Purchase Requisitions (PR), Purchase Orders (PO), and manage invoices

  • Coordinate with vendors and supervise office cleaning services

  • Handle issuance and tracking of corporate apparel (e.g., T-shirts, jackets)

  • Administer office access, passes, and locker assignments

  • Support meetings, scheduling, and general coordination

2. HR Shared Services

  • Handle WICA claims and insurance administration

  • Manage employee insurance enrolment, claims, and renewals

  • Maintain and update employees claims and records

  • Coordinate Long Service Awards (tracking eligibility, certificate printing, distribution)

  • Ensure HR documentation is accurate and compliant

3. Training Administration

  • Manage course registrations and liaise with training providers

  • Maintain training records and track completion

4. Reporting & Documentation

  • Prepare and maintain administrative and HR reports (e.g., training records, claims tracking)

  • Ensure proper filing and documentation for audit and compliance purposes

  • Any other duties as assigned.

  • Min Diploma in Business Administration, HR, or related field

  • Strong organizational skills with attention to detail

  • Adaptable and able to thrive in a fast-paced environment

  • Good communication and interpersonal skills

  • Proactive, reliable, and hands-on

  • Able to handle high-volume administrative tasks with accuracy

  • Strong sense of responsibility and confidentiality

  • Comfortable working with different stakeholders and vendors

  • Proficient in Microsoft Office (especially Excel) HR system experience is a plus
