Job Description

The Admin Office & Service Support will play an important role in supporting daily business of Service Department, managing Admin Office, Human Resource and Finance operation. The Admin & Service Support will manage the provision of high quality and sustainable administrative support to all departments and to all staffs to enable the smooth running of operations and delivery to meet the business objectives. The Admin Office & Service Support will handle the office administration, vendor payments, finance & HR assistance for internal administration processes of the offices.

Job Responsibilities

  • Support Service Engineers in CRM system (Pulse) with various relevant service jobs.
  • Manage and prepare annual Maintenance/Calibration Contracts for customers by utilizing CRM system to ensure growth sustainable.
  • Prepare and send service/spare parts quotation to customers and follow up.
  • Review of the purchase order with the final offer.
  • Place service orders to ZwickRoell Singapore and follow up with delivery schedule.
  • Coordinate the sales process after receiving customers orders. E.g. Follow-up invoice, payment, shipment, engineer schedule installation etc.
  • Follow-up shipping instructions & provide updates to the team & customers.
  • Maintain Acceptance document after machines installed and uploaded onto CRM system.
  • Update quotation and customer information in CRM system and working schedule for engineers, to have a clear/transparency service capacity utilization for future capacity plan.
  • Support service team to develop and implement service tooling (eg. ServcieXpert or service platform).
  • Perform customer satisfaction survey after machine installation / acceptance

Education

Diploma or bachelor's degree in any discipline

Experience

Minimum 2 years of experience in a similar role

Requirements

  • Skilled in negotiation and dealing with complaints
  • Good multitasking skills
  • Ability to work independently, as well as in a team
  • Goal-oriented and has a flexible approach to work
  • Good written and verbal communication skills in English language
  • Proficiency with PC software
  • Good knowledge of MS Office programs
  • Ability to work under pressure
  • Patient and able to handle customer rejection
