Job Description

About the Role

Provide operational support for ocean freight documentation and client project activities by ensuring accurate record management, timely shipment coordination, effective stakeholder communication, and compliance with company procedures.

Responsibilities

Ocean Freight Documentation

  • Prepare and process import/export shipping documents, including booking records, shipping instructions, bills of lading, customs supporting documents, and delivery paperwork.
  • Verify document accuracy and follow up on missing or inconsistent information with relevant parties.
  • Update shipment records and milestones in the operating system.
  • Monitor documentation deadlines and carrier cut-off times to ensure timely shipment processing.
  • Maintain filing, data entry, archiving, and billing support records for audit compliance.
  • Escalate document discrepancies and shipment exceptions to the manager when required.

Client Project Support

  • Support project-related shipment coordination, delivery arrangements, returns follow-up, and status updates.
  • Maintain accurate project records, including ticket logs, delivery status, serial numbers, and related documentation.
  • Coordinate with clients, couriers, warehouse teams, and internal stakeholders to ensure smooth project execution.
  • Assist with inventory checks, packing coordination, label preparation, and courier documentation.
  • Track open tickets and escalate unresolved issues as necessary.

Administrative & Coordination Support

  • Provide timely support and communication to internal and external stakeholders.
  • Assist with reports, data consolidation, and ad hoc operational tasks.
  • Coordinate with Operations, Finance, Sales, and other departments to support workflow efficiency.
  • Ensure compliance with company SOPs, customer requirements, and internal control procedures.

Qualifications

  • Bachelor's degree or above; major in logistics, transportation, international trade, business, or related fields preferred.
  • 1-2 years of experience in logistics, freight forwarding, shipping documentation, administration, or customer service preferred; fresh graduates may also be considered.
  • Basic knowledge of ocean freight operations, shipping documentation, or logistics workflow is an advantage.
  • Good command of spoken and written Chinese; basic written English ability is preferred.
  • Proficient in MS Office applications, especially Excel, Word, and Outlook.

Compensation Package

This is an initial 6-month contract role with the opportunity for extension. We offer a competitive salary package, an end-of-contract bonus, a 5-day work week, and flexible working arrangements to support work-life balance.
