The Manager - HR & Office Administration supports human resources and office administrative functions. Serving as a key operational partner to the Singapore HR Lead, this role oversees daily HR and administrative operations, provides guidance to support staff, and ensures high standards of compliance, service delivery, and operational excellence.
Key Responsibilities
1. HR Operations & Compliance
.Oversee end-to-end HR operational lifecycles, including employee onboarding, confirmation, promotions, transfers, and offboarding.
.Ensure accurate and timely execution of employment contracts, documentation, and personnel record management.
.Monitor and maintain strict compliance with local employment laws (MOM regulations), company policies, and internal governance standards.
.Review HR transactions and documentation prepared by the team to maintain high accuracy and completeness.
.Serve as the primary point of escalation for operational HR inquiries and employee matters.
.Drive process optimization, standardization, and optimal utilization of HR systems and employee databases.
2. Benefits & HR Administration
.Administer employee benefits programs, including group insurance, wellness initiatives, leave tracking, and employee assistance programs.
.Assist with annual compensation reviews, performance bonuses, and related workforce communications.
.Ensure accurate data reconciliation and HR metrics reporting.
3. Immigration & Mobility Management
.Manage work pass administration (e.g., EP, S Pass, DP) and regulatory compliance with immigration authorities.
.Coordinate relocation, onboarding, and mobility support for expatriate personnel and their families.
.Ensure timely pass renewals, accurate documentation, and statutory compliance.
4. Employee Relations & Workplace Experience
.Support employee engagement, wellness programs, and recognition initiatives.
.Advise managers and staff on HR policies, procedural guidelines, and workplace relations.
.Assist in managing grievances, performance issues, disciplinary cases, and workplace investigations as required.
5. Office Administration & Facilities Management
.Lead and supervise the Office Administration team to ensure seamless day-to-day office operations.
.Oversee facilities maintenance, vendor performance, workplace services, and administrative contracts.
.Manage administrative budgets, procurement, executive support, travel coordination, and asset inventory.
.Maintain office health, safety, security, and business continuity readiness.
6. Team Leadership & Continuous Improvement
.Supervise, coach, and guide HR Executives and Office Support staff to maintain service standards and deliverable timelines.
.Support organizational projects, system implementations, policy updates, and cross-functional initiatives as assigned.
Qualifications & Requirements
.Education: Bachelor's Degree in Human Resources, Business Administration, Management, or a related discipline.
.Experience: Minimum of 6 years relevant HR experience, with broad exposure across HR operations and office administration. Prior experience supervising small teams in a regional or multinational environment is preferred.
