Job Overview
Logistics Specialist is responsible for planning, purchasing and sales order processing and day to day communication on orders and livery fulfillment.
Key responsibilities include purchase order processing, sales order processing, order confirmation, shipping docs creation and invoicing, and freight booking and tracking, warehouse co-ordination and audit support.
Job Responsibilities and Essential Duties
1. Order Management & SAP Operations
- Create purchase order, and closely monitor the process of delivery schedule
- Perform goods receipt, goods issue in SAP and local delivery schedule
- Receiving, validating and processing sales order
- Order confirmation, monitoring, rescheduling, reconfirming
- Trace the shipment to ensure on time delivery
- Escalation point for shipment issues, clarifications and support.
- Maintain relevant master data within the assigned area
2. Logistics & Warehouse Coordination
- Coordinate and liaise closely with internal and external stakeholders, Logistics vendors for timely shipment arrangement and case follow-up
- Communicate with warehouse for order picking, packing, shipping condition and shipment booking to ensure goods are collected and dispatched on time
- Manage and track spot quote RFQ for exceptional shipments requirements and cost control.
- Actively explore cost saving and sustainability opportunities and drive implementations
- Investigate into recurring operational issues and take corrective actions and continuous improvement on process and SOP
3. Compliance & Inventory Control
- Inventory management - maintain inventory accuracy and system updating, monitor inventory level and regular stock take
- Support data and/or prepare periodic reports for management review
- Any other task as assigned by manager, assist the team for ad-hoc projects
- Work closely with QA and product owner to ensure products shipped are compliant with respectively countries regulatory requirements (e.g. labels)
- Handling of return shipment from countries
- Actively contribute to the documentation and maintenance of work instructions and procedures and participate and/or lead in relevant projects
- Support external and internal audit within the assigned area.
- Accept any tasks or job-re-arrangement assigned by company based on business needs.
Minimum Requirements
- Bachelor's degree or equivalent in Logistics or business related fields
- Minimum 2 years relevant working experience in supply chain order fulfillment management
- Experienced user of ERP system, preferably SAP
- Strong verbal and written skills in English
- Demonstrated ability to communicate and solve problems together with external and internal stakeholders globally
- Cooperative mindset, attention to detail and willingness to provide excellent customer service
- Able to prioritize and multi-task
- Working experience in Medical Device or Healthcare industry is a plus
