Job Description

Brief Summary

Join a dynamic team where you will engage in lease documentation processing, arrange viewings, and manage tenant relationships. This role offers a great opportunity to develop your administrative skills in a supportive environment.

Responsibilities

  • Process lease documentation, including TAML checks and ACRA searches on tenants and prospects ensure full execution of documents following tenant acceptance of the Letter of Offer. Support smooth lease documentation processing by maintaining proper filing systems and liaising with legal counsel to track the execution of lease documents. Handle viewing arrangements by managing inquiries and coordinating calendar schedules for the team. Maintain and update vacancy listings and agent mailing lists, sending fortnightly updates to agents. Manage arrears by ensuring timely follow-up with tenants regarding rent and ad hoc charges per established procedures. Oversee property tax matters for respective properties and facilitate timely follow-up on objections or appeals with authorities. Handle tenant insurance policies, ensuring timely updates regarding Tenant's PL insurance. Organize special arrangements for tenants, such as sending flowers for business commencements. Create purchase requests and manage invoice uploads for procurement processes. Maintain an up-to-date contact database for tenants and business associates, supporting relevant communication needs for events. Report building occupancy details in the URA portal regularly. Assist in maintaining training records for sales personnel within the CEA portal and process renewal of CEA licenses for the agency and sales staff.

Requirements

  • Educational background in a relevant field. 1 to 2 years of experience in administration or operations. Proficient in Microsoft Office applications, including Word, Excel, Access, and Outlook. Familiarity with PIVOT tables, basic macro skills, and mail merge/report generation is advantageous. Detail-oriented with a focus on quality. Strong follow-through abilities and excellent interpersonal skills. Capable of adhering to timelines effectively.
