The Key Account Executive owns the day-to-day management of all pharmacy retail partners such as Watsons, Guardian, Unity and more. The role spans across trade sales and promotion planning, coordination of marketing and merchandising execution across online and offline channels, and the operational coordination of stock delivery and returns. The incumbent needs to maintain close coordination with external retail buyers, internal design/artwork, logistics and finance to keep every promotion cycle, listing and stock movement running within stipulated deadlines.
Manage day-to-day relationships with buyers/counterparts across all pharmacy retail partners
Track each retail partner's promotion calendar and respond within deadlines including but not limited to,
Proposing and coordinating the annual marketing plan which includes budgeting, selection of promotional products and sales planning
Preparing and submitting individual promotion proposal and pricing
Coordinate promotion claims and discount-sharing terms with retailers (e.g. Watsons 50% co-funded discount claims)
Track Trade Term Agreement (TTA) entitlements owed by each retailer (e.g. brand fest days, FB posts) and ensure full redemption
Propose pricing and product selection decisions for new listings to the reporting manager/functional head
Coordinate artwork, POSM (point-of-sale material) and printing timelines with the design team to meet each promotion's go-live date
Manage merchandiser schedules and in-store execution (planograms, displays, LED panel/installation projects)
Liaise with buyers to obtain current planograms and verify listing/delisting status of products in-store
Manage online listings and product updates across e-commerce portals, including new product listings and updates triggered by formula/ingredient changes
Submit new product listings and thematic promotions via each retailer's portal (GSP Portal, PMR Portal) following the relevant SOP and workflow for each retail pharmacy
Monitor stock positions across all pharmacy partners via available visibility (e.g. Unity's monthly stock file, Guardian warehouse stock, Watsons portal limitations).
Ensure all products meet each retail pharmacy's requirements as stipulated in our agreements/correspondence
Coordinate order fulfilment with the internal packing and delivery team where an order cannot be fulfilled, notify the retailer and file a non-fulfilment report where required (e.g. Watsons) to avoid penalties
Coordinate stock returns and exchanges with retailers and the internal delivery team
Track slow-moving or delisted SKUs (e.g. Vitarealm) and drive clearance plans to resolution
Maintain accurate records: retailer logins, contact lists, promotion calendars and trade promotion plans
Liaise with finance on billing matters relevant to each retailer
Forward and action retailer stock/order communications to the relevant internal team promptly
Respond to ad hoc retailer enquiries and gather interest for new marketing campaigns as requested
Proficient in Excel (trackers, price lists, promotion plans, stock reports) to manage multiple retailer-specific templates and portals
Strong communication skills for buyer negotiations, retailer correspondence and internal coordination
Working knowledge of, or ability to quickly learn, e-commerce listing/portal systems (e.g. GSP Portal, PMR Portal)
Basic project/timeline coordination skills to manage concurrent promotion, artwork and listing deadlines
Comfortable with numbers and paying attention to details on pricing, claims and stock reconciliation
Deadline-driven and reliable - many retailer submissions are time-boxed and non-negotiable
Detail-oriented and organised, able to juggle five retailer relationships and their differing systems/SOPs
Collaborative and proactive team player, comfortable coordinating across functions without formal authority over other teams
1-2 years relevant work experience in trade marketing, key account management, merchandising or a similar retail/FMCG coordination role
Diploma or Degree in Business, Marketing, Supply Chain or a related field
Proficient in Microsoft Excel and Office
Multi-lingual candidates strongly preferred
Prior exposure to modern trade, pharmacy or health & beauty retail is an advantage but not required
