Brief Summary:
We are seeking a detail-oriented professional to support key administrative functions related to client management. This role offers an opportunity to engage with a variety of tasks in a dynamic environment.
Responsibilities:
- Manage all administrative activities related to Japanese speaking client relationship management.
- Create and/or revise service agreements while ensuring accuracy.
- Prepare and disseminate announcements to inform relevant departments about new client onboarding and service agreements.
- Maintain and update the Client Relationship Management system.
- Attend client meetings, take minutes in Japanese, and distribute accordingly.
- Assist the team in generating sales analysis materials, presentation slides, and reports.
- Oversee invoice management and administration to ensure precise invoicing and prevent billing errors.
- Follow up with clients regarding quotations, service agreements, and payment statuses.
- Handle the maintenance and updating of quotation lists.
- Perform administrative duties including data entry, meeting scheduling, correspondence preparation, travel arrangements, meal bookings, expense settlements, and responding to inquiries related to client management and business support.
- Manage collection, sorting, and distribution of mails as part of business support functions.
- Undertake any other ad-hoc duties as assigned.
Requirements:
- Degree in Business or a related field.
- 2-5 years of relevant experience in a business support role.
- Strong customer-oriented mindset with multi-tasking abilities in a fast-paced environment.
- Self-motivated individual with a serious work attitude.
- Attention to detail and focus on customer service.
- Proficiency in Japanese for effective communication with Japanese speaking clients and Japan HQ.
