Position Overview
We are seeking a proactive, detail-oriented, and organized HR & Finance Executive to support both Human Resources and Finance operations. This role is ideal for individuals who enjoy administrative coordination, compliance, and finance support in a dynamic environment. The successful candidate will primarily manage work pass administration, HR operations, employee claims, and finance-related processes while ensuring compliance with company policies and Singapore regulations.

Key Responsibilities
Human Resources
- Manage the full lifecycle of employee work passes, including applications, renewals, cancellations, and status monitoring via the Ministry of Manpower (MOM) portal.
- Liaise with government agencies, external vendors, and relevant stakeholders on employment-related matters.
- Maintain accurate employee records, HR documentation, and personnel files.
- Support onboarding and offboarding activities, including preparing employment contracts and other HR documents.
- Administer employee leave, attendance, and HR information systems.
- Assist in payroll preparation by ensuring employee records and supporting documents are complete and accurate.
- Ensure compliance with Singapore employment legislation, MOM regulations, and internal HR policies.
Finance
- Process employee claims and reimbursements accurately and within stipulated timelines.
- Review and verify claims against company policies and supporting documentation.
- Support accounts payable functions, including invoice verification and processing.
- Maintain organized financial records and documentation.
- Assist with month-end closing activities and other finance administrative duties.
- Liaise with external auditors and vendors when required.
Administration
- Maintain systematic filing and record management for HR and finance documents.
- Coordinate with internal departments to support day-to-day business operations.
- Perform general administrative duties and undertake ad hoc assignments as required.
Requirements
- Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Accounting, Finance, or a related field.
- Candidates with 0-3 years of relevant HR or finance experience will have an advantage.
- Prior experience in Singapore work pass administration or HR operations is preferred but not essential.
- Basic understanding of the Singapore Employment Act and MOM regulations is advantageous.
- Proficient in Microsoft Office applications, particularly Excel and Word.
- Experience with HRIS, payroll, or accounting software will be an added advantage.
- Strong communication and interpersonal skills.
- Well-organized, meticulous, and capable of managing multiple priorities.
- Able to work independently while contributing effectively within a team environment.
