Job Purpose
The HR Assistant / HR Executive will support the administration of workplace injury reporting and claims processes, ensuring timely submission of reports, proper documentation management, accurate case tracking, and coordination with relevant stakeholders. The role is responsible for maintaining compliance with statutory reporting requirements and facilitating insurance claim submissions.
Key Responsibilities
Workplace Injury Reporting
- Administer and coordinate workplace injury reporting through the Ministry of Manpower (MOM) iReporting system.
- Prepare and submit workplace injury reports within statutory timelines.
- Liaise with internal stakeholders to obtain necessary information for report submissions.
- Ensure compliance with MOM reporting requirements and organizational procedures.
Case Management and Documentation
- Track and monitor workplace injury cases from reporting through to closure.
- Maintain accurate and up-to-date records of all workplace injury cases.
- Collect, verify, and organize relevant supporting documents, including medical certificates (MCs), medical reports, investigation reports, and correspondence.
- Ensure all case documentation is complete, accurate, and properly filed.
Insurance Claims Administration
- Assist in the preparation and submission of workplace injury insurance claims.
- Coordinate with insurers, employees, medical providers, and internal stakeholders on claim-related matters.
- Monitor claim status and follow up on outstanding documentation or information requests.
- Maintain records of claim submissions and outcomes.
Administrative Support
- Prepare reports and case summaries for management review.
- Maintain confidentiality of employee and medical information.
- Support audits, data requests, and process improvement initiatives related to workplace injury management.
- Perform other HR administrative duties as assigned.
Job Requirements
Assistant, HR
- Qualification: Diploma, Higher NITEC, or equivalent qualification in Human Resources, Business Administration, or a related field.
- Experience: 1 to 2 years of administrative experience HR experience is an advantage.
- Good organizational and documentation management skills.
- Proficient in Microsoft Office applications, particularly Excel and Word.
- Detail-oriented with strong follow-up and coordination skills.
Executive, HR
- Qualification: Diploma or Degree in Human Resources, Business Administration, or a related field.
- Experience: Minimum 2 to 3 years of HR or claims administration experience.
- Familiarity with workplace injury reporting, insurance claims administration, or regulatory compliance is preferred.
- Strong communication and stakeholder management skills.
- Ability to manage multiple cases and deadlines effectively.
