Job Summary
The Food & Beverage Executive supports the Asia Pacific Food and Beverage function through regional coordination, stakeholder support and operational follow-through. The role sits in our regional office and helps hotels and corporate teams access the information, resources, training and support needed to improve F&B performance and guest experience.
Job Assignment
In this position, you will report to the Director of Food & Beverage, Asia Pacific. Your responsibilities will include, but will not be limited to, the following:
Administration & Stakeholder Management
- Act as a reliable regional contact for Food & Beverage matters, maintaining clear communication with hotels, corporate teams, vendors, partners and other stakeholders.
- Provide responsive, courteous and solutions-oriented support to hotels, leaders, colleagues, vendors and partners, escalating matters when decisions or approvals are required.
- Coordinate calendars, meetings, workshops, hotel calls, site visits, onboarding sessions and follow-up actions across Asia Pacific time zones.
- Prepare agendas, minutes, decision records, action trackers and executive-ready correspondence, ensuring owners and deadlines are visible and followed through.
- Create and maintain accurate shared folders, SharePoint resources, toolboxes, templates, presentations, forms and other approved reference materials.
- Support the preparation and distribution of departmental communications, reports, presentations and recurring updates.
Learning, Talent and People Support
- Act as the key contact point for learning and development platform enquiries, user validation, onboarding, access troubleshooting, subscription questions, attendance tracking and related financial administration.
- Support training calendars, virtual workshops, learning platform follow-up and distribution of approved learning materials.
- Support F&B leadership with talent updates, vacancies, candidate information, onboarding calls and regional talent-development initiatives, protecting personal information throughout.
- Train and mentor F&B interns by providing meaningful learning opportunities, clear expectations, regular feedback and exposure to appropriate regional workstreams.
Data, Financial and Commercial Support
- Assist with project budget inputs, purchase requests, invoices, cross-charges, room blocks, travel documentation, vendor follow-up and payment records in accordance with approval requirements.
- Support the preparation of monthly, quarterly and annual reports, business reviews and planning materials, ensuring information is complete, timely and traceable to its source.
- Handle financial and contractual information with discretion and do not commit the company to expenditure, pricing, contracts or other obligations without the required approval.
- Collect, consolidate and present agreed data such as Medallia, survey, talent, hotel, venue, training and project information in clear summaries and trackers.
Marketing, Communications and Content
- Support regional F&B communications, announcements, invitations, event recaps, calls to action, partner updates and other materials in a clear, professional and audience-appropriate style.
- Assist with the development and maintenance of approved F&B marketing materials, resource pages, scripts, presentations and links, coordinating updates with the relevant owner.
- Help coordinate workshops, conferences, competitions, masterclasses, hotel engagement activities and other initiatives that build awareness, capability and business impact.
Operational and Project Coordination
- Coordinate assigned regional projects from planning through delivery by clarifying requirements, maintaining timelines, organizing logistics, preparing materials and monitoring completion.
- Support hotel performance reviews and operational updates by consolidating revenue, guest satisfaction, tools and systems utilization, industry trends and other agreed inputs.
- Assist with opening, re-opening, post-opening and operational-review support, including information requests, menus, F&B manning data, presentations and follow-up trackers.
- Work with cross-functional partners to align activities, identify dependencies and raise risks early to the appropriate leader.
Qualifications
Education and Experience
- At least three years of relevant experience in hospitality, food and beverage, regional coordination, project administration, executive support, learning support or a related field.
- Diploma or degree in Hospitality Management, Business, Communications or a related discipline preferred.
- Excellent organizational skills, follow-through and attention to detail, with the ability to manage multiple sensitive workstreams and changing priorities.
- Strong written and verbal English communication skills proficiency in an additional Asian language is preferred but not required.
- Sound working knowledge of Microsoft Office and collaboration platforms, with the ability to learn new systems and maintain accurate records.
- Service-oriented, collaborative and proactive, with the judgement to work independently, escalate appropriately and maintain confidentiality.
