Job Description

Purpose of the Job:

Acts as liaison between Sales, Operations and Finance Management Team to ensure the smooth functioning of the sales office activities with the focus on customer service. Taking initiatives in identifying the areas of improvements, opportunities to implement the best practices to bring greater visibility to the operational performance of the sales office.

Primarily Roles & Responsibilities

Finance Management

  • To prepare the sale invoices in SAP and send them to the end customers on time.
  • To assist the Finance Management Team in India by reaching out to the local customers for current/ overdue payments.
  • To assist the Finance Management Team in India in reconciling the local Bank SOA

Inventory Management

  • To receive, verify and perform the goods receipt in SAP for the Inbound shipments from material vendors. Report and reconcile the discrepancies in a timely manner.
  • To maintain the proper filing of inbound documents- Supplier Invoices, Packing Slips, AWBs, import declaration copies and duty payment receipts as a backup to the corresponding purchase orders.
  • To prepare the local delivery note (in Chinese language) and co-ordinate with sales team to ship the items to respective end customers.
  • To perform the stock count for the items available in the sales office inventory. Report and rectify the stock inaccuracies with necessary approvals.

Office Management

  • To Ensure the good housekeeping in the office premises
  • To Handle the petty cash purchase like stationary items, cleaning supplies etc.,
  • To make the Utilities payment Water, Electricity, telephone bills etc.,
  • To Handle the local bank, Post office related tasks. Online portal management.
  • To manage the sales office rent payment, leasing agreement renewal etc.,
  • To handle the import duties & Tax Payments, VAT payment etc.,

Regulatory Compliance

  • To serve as a liaising agent/ primary point of contact for coordination to:
  • TW Customs (Local and FTZ)
  • TW Income Tax Bureau
  • Civil Aviation Authority (CAA)
  • Tax Audit Firms
  • TW Sales Tax Department (VAT)
  • To submit the monthly/ yearly reports to the above listed regulatory departments (wherever applicable)

Education/ Experience Requirements

  • Bachelor's degree with accounting major is preferrable.
  • CPA Taiwan certification will be an advantage
  • 4+ years of experience in customer service and office management
  • Hands-on experience in ERP packages. SAP S4 Hana is preferrable.
  • Proficient in MS office Excel, Outlook & Word.
  • Proficiency in English- both oral and written communication.
