Job Description

Finance & Admin/HR Manager

Take Ownership. Make an Impact. Grow With Us.

About Us & The Opportunity

We are a growing SME with over 14 years of continuous growth, looking for a proactive, hands-on Finance & Admin/HR Manager to join our team and be part of our next stage of growth.

We believe that the right person can make a real difference to a business. We are looking for someone with a sharp mind, a keen eye for detail, and the initiative to go beyond routine tasks to identify opportunities for improvement.

This is a hands-on, multi-functional role covering finance, accounting, HR, payroll, and administration. You will work closely with our company directors, giving you direct access to management, visibility into back end business operations, and the opportunity to contribute ideas that can make a meaningful difference.

We value initiative, accountability, and practical problem-solving. You will have the autonomy to manage your responsibilities, recommend better ways of working, and help strengthen our processes as the business grows.

If you enjoy variety, thrive in a lean SME environment, and want to see the direct results of your contributions, this could be the right opportunity for you.

What You'll Be Responsible For

1. Finance & Accounting

  • Manage the full set of accounts, including General Ledger, Accounts Receivable (AR), and Accounts Payable (AP).
  • Monitor daily cash flow and working capital, and prepare timely financial and management reports for company directors according to IRAS requirements.
  • Produce reports on annual financial statements, balance sheets.
  • Manage GST submissions to IRAS, coordinate corporate tax computations, and support year-end statutory audits.
  • Process ad hoc invoices, financial documents, reports, and e-invoices through relevant government portals accurately and promptly.
  • Manage corporate banking matters, maintain banking relationships, and oversee vendor contracts and general office administration.
  • Identify opportunities to improve financial processes, strengthen internal controls, and enhance operational efficiency.

2. Human Resources & Payroll

  • Manage monthly payroll processing, itemized payslips, and timely CPF contributions.
  • Oversee the employee lifecycle, including recruitment, onboarding, confirmation, and offboarding.
  • Prepare employment contracts and ensure staff records and system logins are ready before employees commence work.
  • Maintain accurate employee records, leave administration, insurance, and medical benefits.
  • Ensure compliance with Singapore's Employment Act, CPF requirements, and relevant Ministry of Manpower (MOM) regulations.
  • Support HR policies, performance reviews, and employee grievance-handling processes.

3. Administration & Business Support

  • Oversee day-to-day office administration and ensure smooth business operations.
  • Coordinate administrative documentation, vendor matters, and other operational requirements.
  • Handle ad hoc operational requests and ensure tasks are completed accurately and within agreed deadlines.
  • Work with management to identify gaps, improve workflows, and implement practical solutions.

Your Scope, Ownership & Working Style

This role is ideal for someone who enjoys being a hands-on all-rounder and is comfortable managing multiple functions in a growing SME.

  • Direct access to decision-makers: Work closely with company directors and communicate important financial and HR matters directly to management.
  • Autonomy and accountability: Take ownership of your responsibilities and organise your work independently, with minimal supervision.
  • Room to improve and innovate: Identify inefficiencies, recommend practical solutions, and help implement better processes rather than simply maintaining the status quo.
  • A broad business perspective: Gain exposure to the financial and operational aspects of the business and understand how your work contributes to overall performance.
  • A collaborative environment: Work with management to resolve issues, prioritise tasks, and support business growth.

While this is not a dedicated senior finance leadership position, it is an important role that requires sound judgement, reliability, initiative, and the ability to manage day-to-day responsibilities independently.

What We're Looking For

  • A Diploma or Bachelor's Degree in Accountancy, Finance, Human Resources, Business Management, or a related discipline.
  • 3-5 years of relevant hands-on experience in accounting, finance, HR, and payroll, preferably in a lean SME environment.
  • Good working knowledge of Singapore Financial Reporting Standards (SFRS), GST, corporate tax requirements, CPF regulations, and MOM employment guidelines.
  • Proficiency in accounting and payroll software such as Xero, MYOB, QuickBooks.
  • Strong Excel skills and confidence in preparing financial reports and analysing figures.
  • A self-motivated, resourceful, and organised individual who can work independently with minimal supervision.
  • Strong attention to detail, integrity, accountability, and commitment to meeting deadlines.
  • A proactive mindset, with the confidence to raise issues, suggest improvements, and follow through on solutions.
  • The ability to prioritise competing deadlines while maintaining accuracy and quality across different functions.

What Success Looks Like

We value accuracy, accountability, initiative, and consistent execution. Success in this role means:

  • Maintaining accurate financial records and reconciliations, with no material errors or unresolved discrepancies.
  • Completing monthly closing, management reports, and statutory submissions within the required deadlines.
  • Monitoring receivables, payables, and working capital.
  • Ensuring accurate monthly payroll, timely CPF submissions, and complete employee documentation.
  • Processing invoices, e-invoices, financial documents, and ad hoc requests accurately and within agreed timelines.
  • Ensuring employment contracts, staff records, and system access are ready before each employee's first day.
  • Identifying and implementing practical improvements that reduce errors, improve efficiency, and support business growth.

Why Join Us

  • Work directly with directors: Share your observations, raise ideas, and gain a better understanding of business decisions.
  • Enjoy meaningful ownership: Have the freedom to organise your work, solve problems, and improve processes within your area of responsibility.
  • Broaden your experience: Develop practical expertise across finance, HR, payroll, and business administration.
  • Grow with the business: Be part of a growing SME where your initiative and contributions matter.
