Job Description

Location: Kota Damansara (On-site)

Employment Type: Full-Time

Salary Range: RM 2,800 – RM 3,500 (Negotiable based on experience)

About Us

At Forest Cloud, we are commercial beverage specialists dedicated to elevating the local coffee and F&B experience. We supply premium coffee beans, matcha, houjicha, and professional beverage ingredients to cafés and restaurants across Malaysia. As we scale up our operations and expand our market presence, we are looking for dedicated talents to grow alongside us!

About This Role

At Forest Cloud, we move fast. We are looking for a responsible, detail-oriented, and proactive Finance Admin Executive to support our daily administrative and accounting operations.

This role is the backbone of our execution. We are NOT looking for a passive data-entry clerk who just waits for instructions. We need a disciplined individual who takes ownership of their work, ensures absolute accuracy in documentation, tracks down approvals independently, and maintains smooth financial coordination between our sales team, logistics, and vendors.

Key Responsibilities
  • Core Administration: Handle daily office administrative tasks, systematic digital/physical filing, documentation, and accurate data entry.
  • Financial & Sales Documentation: Prepare, verify, and maintain critical records including invoices, purchase orders (PO), delivery orders (DO), and related documents.
  • Stakeholder Coordination: Act as a reliable point of contact to coordinate effectively with internal departments (Sales & Warehouse), customers, suppliers, and external vendors.
  • Secretarial Support: Assist management in arranging meetings, appointments, office activities, and calendar schedules.
  • Office Procurement: Monitor inventory levels of office utilities/supplies and handle purchasing or replenishment when needed.
  • HR & Finance Admin Support: Support basic HR and finance paperwork, including employee attendance records, staff expense claims, payment vouchers, and staff-related documentation.
  • Task Follow-Up: Meticulously follow up on pending administrative tasks, internal approvals, and outstanding customer/vendor documentation to prevent operational delays.
  • Ad-Hoc Duties: Assist management with ad-hoc operational or clerical tasks as assigned from time to time.
Job Requirements
  • Education: Diploma or Bachelor's Degree in Business Administration, Management, Accounting, Finance, or a related field.
  • Experience: 1–2 years of working experience in an administrative or basic accounting role is an advantage. Fresh graduates with a strong sense of responsibility are highly encouraged to apply!
  • Software Skills: Proficient in Microsoft Office / Google Workspace. Prior knowledge or exposure to SQL / AutoCount accounting systems is a major added advantage.
  • Languages: Good communication and coordination skills. Fluency in Mandarin is a strong added advantage (to effectively liaise with specific Mandarin-speaking clients, vendors, or suppliers).
  • Work Ethics: Highly organized, strong attention to detail, capable of meeting tight deadlines, and able to work independently with minimal supervision.
Perks & Benefits
  • EPF (KWSP), SOCSO (PERKESO), and EIS (SIP) statutory contributions.
  • Annual Leave and Medical Leave benefits.
  • Outpatient medical coverage.
  • Generous staff discounts on Forest Cloud products (Specialty Coffee, Matcha, etc.).
  • Specialized product exposure (learn about the specialty beverage industry).
  • A vibrant, supportive, and career-growth-oriented office environment.
