Executive Officer II, Academic Affairs, Office of MBA Programmes

The Office of MBA Programmes (the Office) operates with a working culture characterised by Professionalism with Heart, Dynamic Value Creation, and Steward of Growth.

Reporting to the Team Head of the Programmes and Academic Affairs (PAA) team within the Office, the successful candidate will play a key role in academic administration, ensuring the smooth delivery of academic offerings and supporting the continuous enhancement of programme quality. This role requires a detail-oriented, service-minded professional with strong communication, organisational, and problem-solving skills, as well as a commitment to excellence.

The appointee will be responsible for:

(a) Course Logistics Management:

  • leading the administration and operational delivery of courses to ensure quality and compliance with the University's policies and standards

  • managing class scheduling, venue bookings, and co-ordination with academic partners, including contract administration and review processes and

  • maintaining accurate academic records and supporting term-end evaluations and reviews.

(b) Faculty Engagement and Support:

  • acting as the primary point of contact for course teachers and teaching assistants, addressing enquiries and facilitating effective communication

  • co-ordinating faculty appointments, briefing materials, and reimbursement processes

  • overseeing the procurement and distribution of teaching materials, including preparations for experiential learning activities and guest lectures and

  • supporting initiatives that promote faculty engagement, knowledge sharing, and collegial collaboration.

(c) Teaching Assistant (TA) Administration:

  • overseeing the appointment, onboarding, and payment administration of academic TAs

  • managing operational matters relating to administrative TAs, including shift scheduling, attendance monitoring, and on-site classroom support and

  • co-ordinating administrative and academic support during exams, special events, and other academic activities.

(d) Student Course Registration and Academic Applications:

  • overseeing the maintenance of student course registration records, ensuring data accuracy, system integrity, and compliance with academic requirements

  • administering and processing student academic applications in accordance with the University's policies and procedures and

  • supporting academic advising activities and student consultation sessions as required.

(e) Continuous Improvement and Other Duties:

  • driving continuous improvement initiatives to enhance the efficiency and effectiveness of academic operations and service delivery and

  • monitoring, analyzing, and reporting key performance indicators (KPIs) relating to course readiness, faculty and TA satisfaction, and academic administration.

(f)performing ad hoc or updated duties as assigned by the Administrative Director (or his delegate).

Working flexible hours, including evenings and weekends, and undertaking occasional overseas travel will be required.

Applicants should have (i)a good Bachelor's degree, preferably a Master's degree (ii) fulfilled the language requirements set out on the website: (iii) at least 3 years of post-qualification experience in academic administration, preferably within the tertiary education sector (iv)strong self-motivation and organisational skills, and a high level of accountability (v) demonstrated ability to work independently while contributing effectively within a collaborative team environment (vi)excellent communication and interpersonal skills, with the ability to engage effectively with stakeholders from diverse backgrounds (vii) proven ability to manage multiple priorities and perform effectively in a fast-paced, matrixed environment (viii)proficiency in IT systems, including learning management systems, student information and course registration platforms, and standard office productivity applications and (ix)an excellent command of written and spoken English and Chinese (including Cantonese and Putonghua). Shortlisted candidates may be invited to sit for a written test and attend an interview.

Appointment will initially be made on contract basis for up to 2 years (with contract-end gratuity for a 2-year contract) commencing as soon as possible, renewable subject to good performance and mutual agreement.
