Job Description

Position Responsibilities:

  • Provide full spectrum of executive secretarial and administrative support to the senior executives including scheduling meetings, coordinating travel bookings and organizing regional countries activities/ events
  • Organize meetings, prepare agendas and proactively follow up on action items
  • Coordinate meetings through email communication with external parties, including corporates, public institutions and regulators
  • Prepare expenses reports, claims and reimbursement
  • Compile reports and assist on presentation preparation in a professional manner
  • Meeting minutes taking as required
  • Serve as a liaison among regional teams, global teams and various departments, ensuring effective communication and coordination to align business goals and regulatory requirements
  • Coordinate with internal and external stakeholders to gather informa tion and follow on action items
  • Screen and prioritize incoming and outgoing communications, ensuring the proper handling of confidential documents
  • Assist with personal matters for senior executives as assigned
  • Provide support to office administration, departmental initiatives, departmental events/ activities and other ad hoc duties as required

Required Qualifications:

  • Experience working in banking/ FIG industries under a fast-paced environment
  • Minimum 5-8 years relevant experience in supporting leadership team with formal secretarial training
  • Excellent in both written and spoken English and Chinese including Putonghua
  • Proficiency in software applications (MS Word, Excel, PowerPoint and Chinese word processing)
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal abilities.
  • Able to work independently and multitasking, with initiative and flexible with good working attitude
  • Demonstrate in a proactive and can-do attitude
  • High professional standard of integrity and confidentiality
