Job Description

Sales Assistant / Executive Assistant to VP of Business Development (Maternity & Parental Leave Cover)

Taipei, Taiwan | Fixed-Term Contract | Hybrid (Office-first) |

About the Engagement

This is a fixed-term contract role covering for our current EA during her maternity and parental leave. The contract duration will run until the day before the original employee's scheduled

return from leave (estimated approximately 9 to 12 months, subject to the original employee's return schedule).

Subject to the company's organizational growth and staffing needs at the time of contract expiration, outstanding performers may be prioritized for consideration in future permanent

opportunities. The fixed-term contract itself will terminate automatically upon expiration in accordance with applicable labor regulations.

About the Role

This is not a back-office role. You'll be the right hand of our VP of Business Development as we scale our AI cloud infrastructure business across APAC and beyond. From day one, you'll be embedded in the daily rhythm of a high-velocity BD organization - helping the VP run a complex deal pipeline, coordinating with global partners and enterprise clients, and

keeping the entire BD function operating smoothly. You'll have a front-row seat to how strategic deals get done in one of the hottest spaces in tech. If you thrive in environments where every day looks different, where ownership matters more than process, and where the work

What You'll Do

Direct Support to the VP of BD

- Prepare meeting agendas, briefing materials, and follow-up notes for partner and client engagements

- Triage the VP's inbox; draft responses and pre-process documents for review

- Coordinate across time zones (North America, APAC, EMEA) to keep the VP's day running efficiently

- Handle sensitive partnership and deal information with full discretion BD & Sales Operations

- Track BD pipeline and key partnership opportunities; produce weekly and monthly business reviews for the VP

- Prepare quotations, partnership decks, NDAs, contracts, and client-facing materials

- Coordinate with Legal, Finance, Product, and PM teams to move deals from pitch to close

- Maintain CRM data integrity for the BD function

- Support trade shows, partner summits, and customer events from planning through execution

- Manage day-to-day communication with partners and enterprise clients (scheduling, follow-ups, status updates)

Cross-functional Coordination

- Partner with Finance, Legal, and PM teams to push business processes forward

- Take on ad-hoc projects as business needs evolve

What We're Looking For

Must-Haves

- 3+ years in EA, Sales Assistant, BD Coordinator, Sales Ops, or Operations roles - ideally supporting a senior executive

- Fluent in English and Mandarin - you can switch between client emails, executive briefings, and cross-border calls without missing a beat

- Strong command of Microsoft Office and Google Workspace

- Excellent organizational skills with the ability to juggle competing priorities for a busy executive

- Sharp attention to detail, especially with numbers, contracts, and documents

- High resilience and adaptability; comfortable with ambiguity, shifting priorities, and last-minute changes

- True ownership mindset - you flag problems and bring solutions

- Cross-cultural communication skills; comfortable interacting at all levels and across geographies

- Discretion and sound judgment when handling confidential business information

- Strong remote self-management; able to flex working hours occasionally for cross-time-zone meetings (NA / APAC / EMEA)

- Open to a fixed-term engagement and able to commit to the full contract duration

Nice-to-Haves

- Experience supporting a C-level executive or VP in a tech or hardware company

- Background in AI, Cloud, Semiconductor, or high-tech hardware industries

- Prior experience in a multinational or startup environment

- Basic understanding of finance, contracts, or procurement workflows

- CRM experience (Salesforce, HubSpot, or similar)
