Executive Assistant (at the rank of Clerk II) in the Centre for PanorOmic Sciences (CPOS) (Ref.:536118) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to satisfactory performance)

Centre for PanorOmic Sciences (CPOS) is an academic research-support centre embracing multi-omics and big data biomedical research under LKS Faculty of Medicine. CPOS core laboratories host state-of-the-art omics technology platforms with sophisticated equipment supported by our over 75 dedicated and trained members. Welcome to visit us to explore more.

The Role

  • Assistwith daily office operations, including procurement, payments, reimbursements, and invoicing
  • Manage accounts receivable, including tracking payments and following up on outstanding invoices
  • Manage and maintain databases, ensuring accuracy and consistency, and prepare monthly reports for analysis
  • Serve as a key liaison, addressing service and payment enquiries from internal and external parties
  • Provide excellent customer service and support through effective written and verbal communication
  • Support events, activities, and social media administration
  • Perform various clerical and administrative tasks, such as filing, data entry, and correspondence management
  • Carry out other duties as assigned

Qualifications and Qualities

  • Bachelor's Degree
  • At least 2 years of administrative experience, including at least 1 year of experience in a tertiary institution
  • Preferably hands-on experience with financial management or ERP systems in local academic institutions
  • Proficiency in advanced IT applications, including MS Office, with a strong focus on Excel, and practical experience with graphic design, image editing, and video production software
  • Good command of spoken and written Chinese and English
  • Good organizational and interpersonal skills
  • Strong sense of responsibility, a fast learner, highly motivated and attentive to details
  • A good team player with the ability to work independently
