We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative support to senior Partners in a fast-paced, international environment.
Key Responsibilities
- Provide administrative support to Partners, including complex calendar and inbox management and call screening.
- Coordinate internal and external meetings across multiple time zones, working closely with Assistants in London, New York, Hong Kong and Singapore.
- Prepare and compile presentations, performance reports and other materials for client and internal meetings.
- Coordinate domestic and international travel arrangements and prepare detailed itineraries.
- Manage and submit expense reports accurately and within the required timelines.
- Organise team events, including dinners and seasonal social activities.
- Provide general administrative support, including printing, filing, document management and ad-hoc projects.
- Handle confidential and sensitive information with professionalism and discretion.
Requirements
- At least 5 years of experience providing executive or administrative support to senior stakeholders, preferably within professional services, financial services or a fast-paced corporate environment.
- Exceptional attention to detail and a high level of accuracy.
- Strong organisational and time-management skills, with the ability to prioritise multiple time-sensitive tasks.
- Proactive, resourceful and solutions-oriented, with an energetic and positive working style.
- Strong written and verbal communication skills, including accurate grammar, punctuation and spelling.
- Demonstrates discretion, integrity and professionalism when handling confidential matters.
- Able to work effectively with stakeholders across different locations and time zones.
- Proficient in Microsoft Office applications, particularly Outlook, PowerPoint, Word and Excel.
- Experience using Salesforce and Concur would be advantageous.
