Job Description

The ideal candidate will be responsible for a range of activities which will assist this organization's leadership. In this position, you should feel comfortable coordinating calendar appointments, managing communications, and planning events, as necessary.

Responsibilities

CEO Executive Support (Daily Administrative Affairs)

  1. Schedule & Meeting Management – Oversee CEO's daily calendar, including internal/external meetings, business travel, and client visits to ensure optimal time utilization.
  2. Communication Coordination – Act as the liaison between the CEO and internal departments/external partners; filter, relay, and follow up on key tasks and deliverables.
  3. Document & Information Processing – Draft, organize, and archive reports, presentations, emails, and business documents for the CEO; assist with approval workflows.
  4. Travel Arrangements – Book flights, hotels, and ground transportation; handle visa applications and detailed itinerary planning.

II. Personal Assistant to the CEO

  1. Personal Calendar & Lifestyle Management – Assist with personal affairs (e.g., family matters, private appointments, health bookings, children's activities).
  2. Private Travel & Events – Arrange non-business trips, family vacations, private gatherings; manage tickets, venues, gifts, and related logistics.
  3. Personal Finance & Reimbursements – Organize personal expenses, receipts, and reimbursements; coordinate with private financial advisors or household managers as needed.
  4. Confidential Tasks – Handle sensitive personal matters with discretion and professionalism, including correspondence, errands, and ad-hoc requests.

Qualifications

  • Bachelor's degree or equivalent
  • Ability to handle multiple tasks while staying organized
  • Ability to travel
  • Fluent in English communication
