Position: Events Executive

Reports To: Project Manager / Events Manager

Role Overview

We are looking for a proactive and detail-oriented Events Executive to support the planning, coordination and execution of corporate events, brand activations, conferences, launches, hospitality programmes and private experiences.

This role offers the opportunity to work with premium-tier brands and high-profile clients, supporting exciting projects that are often connected to the city's most talked-about campaigns, launches, forums and experiences. You will gain hands-on exposure to how distinctive events are built from concept to execution, while working closely with the Project Manager across planning, sourcing, procurement, vendor coordination, logistics and on-site delivery.

The role is ideal for someone who enjoys a fast-paced, creative environment, is organised, resourceful and eager to grow within the events industry. With the right attitude and performance, you will be trained progressively to take on greater project ownership, with a clear development pathway towards becoming an Events Manager.

Key Responsibilities

Event Planning & Coordination

  • Support the Project Manager in the planning and execution of events from pre-production to post-event wrap-up.
  • Assist in preparing event timelines, production schedules, logistics plans, floor plans, run sheets and briefing documents.
  • Coordinate with internal teams, clients, vendors, venues and suppliers to ensure all event requirements are properly managed.
  • Track project progress, deadlines, deliverables and follow-ups to ensure smooth execution.

Sourcing & Procurement

  • Source for suitable vendors, suppliers, venues, materials, props, equipment, décor, premiums, manpower and other event-related requirements.
  • Request quotations, compare pricing, negotiate where appropriate and assist in preparing cost comparisons for approval.
  • Coordinate purchase orders, vendor confirmations, delivery schedules and payment documentation.
  • Maintain and update vendor databases, supplier contacts and procurement records.
  • Ensure sourced items meet project requirements, budget, quality standards and delivery timelines.

Project Manager Support

  • Assist the Project Manager in day-to-day project administration and coordination.
  • Help prepare client proposals, budget sheets, quotation summaries, production briefs and presentation materials.
  • Follow up with vendors and suppliers on deliverables, artwork, specifications, samples, mock-ups and installation schedules.
  • Support site recce, technical meetings, client meetings and internal project discussions.
  • Assist in monitoring project budgets, expenses and procurement documentation.

On-Site Event Execution

  • Support event setup, rehearsals, show days and teardown.
  • Coordinate vendors, crew, part-timers, ushers, performers, venue teams and suppliers on-site.
  • Assist with registration, guest flow, stage management, hospitality, logistics and troubleshooting.
  • Ensure event elements are set up according to approved plans, layouts and timelines.
  • Respond quickly to operational issues and support the team in solving problems on the ground.

Post-Event Administration

  • Assist in post-event reports, photo documentation, vendor reconciliation, invoice tracking and feedback collation.
  • Support the team in reviewing what worked well and identifying areas for improvement.
  • Ensure event assets, equipment and documents are properly archived after each project.

Requirements

  • Prior experience in events, marketing, hospitality, production, project coordination or procurement is preferred but not mandatory.
  • Strong organisational and coordination skills.
  • Good communication skills and ability to liaise confidently with vendors, clients and internal teams.
  • Able to multitask and work under pressure in a fast-moving environment.
  • Resourceful, hands-on and willing to be involved in both planning and on-site execution.
  • Proficient in Microsoft Office, Google Workspace or similar tools.
  • Able to work irregular hours, weekends or public holidays when required for event setup and show days.
  • Positive attitude, strong sense of responsibility and willingness to learn.
