About the Role
We are a growing property management company that supports homeowner associations and residential communities across the U.S. We work closely with homeowners, board members, real estate agents, escrow officers, title companies, and lenders to ensure real estate transactions move smoothly and on time.
We are looking for a reliable, detail-oriented Escrow Administrator who can manage documentation, email coordination, and compliance-related tasks tied to HOA resale packages, demands, and disclosures.

What You'll Be Doing (Key Responsibilities)
Escrow & Documentation Support
- Prepare, review, and process HOA-related escrow documents (demands, disclosures, resale documents, etc.)
- Ensure required information is collected from the right parties for each transaction
- Maintain accurate, organized files and ensure documents are saved properly
- Monitor document orders and track progress until completion
Communication & Coordination
- Communicate professionally with:
- Title and escrow companies
- Real estate agents
- Homeowners and board members
- Internal property management teams
- Respond to inbound emails and phone calls in a courteous and professional manner
- Follow up on missing information to keep closings on track
Compliance & Accuracy
- Ensure documents meet internal standards and are complete before submission
- Support compliance processes by following checklists and procedures
- Escalate unclear items to management instead of making assumptions
Administrative Support
- Provide general administrative support to the team as needed
- Assist Community Association Managers with transaction-related tasks
What We're Looking For (Qualifications)
- Previous experience supporting escrow, title, real estate transactions, or property management documentation
- Strong written and verbal English skills (clear grammar is important)
- Highly organized and able to manage multiple files and deadlines
- Strong attention to detail and accuracy
- Confident working independently with minimal supervision
- Proficiency in Microsoft Office (Word, Excel, Outlook)
Nice to Have
- Experience working for an HOA management company
- Experience working with US real estate documents or escrow processes
- Experience in customer service, admin coordination, or compliance-heavy work
