PikoHANA is looking for a capable and dependable Corporate Secretarial Lead to own and execute the Singapore corporate secretarial function. This is a senior individual-contributor role based in Singapore, with responsibility for managing client portfolios end to end, maintaining high compliance standards, and helping strengthen how the function operates.
This role is suited to someone who is technically strong, calm under pressure, organised in their thinking, and comfortable working in a collaborative, tech-enabled environment. The successful candidate will not just complete filings and documentation well, but will also bring maturity, sound judgment, and a solutions-oriented mindset to the role.
Manage and execute end-to-end corporate secretarial work for a portfolio of Singapore entities, including incorporations, share transfers, changes in company officers, annual return filings, strike-offs, and other corporate actions.
Prepare, review, and file directors resolutions, shareholders resolutions, AGM and EGM documentation, and statutory forms accurately and on time.
Maintain statutory registers, minute books, and corporate records to a high standard of completeness, accuracy, and audit readiness.
Conduct KYC, due diligence, and related compliance checks for new and existing clients in line with internal requirements and regulatory expectations.
Act as the primary contact for clients on corporate secretarial matters, providing clear guidance and dependable follow-through.
Liaise with regulators, banks, auditors, tax agents, and internal stakeholders as needed to resolve matters efficiently and professionally.
Monitor statutory deadlines closely and ensure timely, accurate completion of all recurring compliance requirements.
Identify risks, gaps, or inconsistencies early and recommend practical, compliant solutions.
Improve templates, processes, documentation standards, and use of systems or tools to support better delivery, efficiency, and client experience.
Support ad hoc corporate and operational matters where needed as part of the wider organisation.
Strong working knowledge of the Singapore Companies Act, ACRA filing requirements, and standard corporate secretarial procedures.
Relevant experience in a corporate secretarial role within a corporate services provider, professional services firm, or similar environment.
Confidence in handling a portfolio independently, with strong ownership of quality, timelines, and client communication.
Comfort working with cloud-based corporate secretarial and compliance software, with openness to using technology and tools such as modern workflow systems or platforms like CAS 360 or similar.
Strong written and verbal communication skills, with the ability to explain issues clearly and professionally to clients and stakeholders.
High attention to detail, strong organisational discipline, and the ability to manage multiple deadlines without losing accuracy.
A collaborative working style and willingness to work closely with colleagues across functions rather than operating in a silo.
