Position Overview

Details of the Division and Team:

Hong Kong Legal Department forms part of Deutsche Bank's regional and global legal function and works closely with business divisions, infrastructure functions and legal colleagues across APAC and globally. The team provides practical, commercially focused and risk-aware legal advice across a broad range of matters, including regulatory developments, product and service offerings, transactions, litigation and regulatory enforcement, governance initiatives and strategic projects.

Operating in a dynamic and highly regulated environment, the Department plays a key role in supporting the Bank's business objectives while safeguarding its legal and reputational interests. The successful candidate is expected to work collaboratively with lawyers and non-lawyers alike, build strong relationships with stakeholders, to assist lawyers in the Department in delivering clear, actionable and commercially pragmatic legal solutions.

Your key responsibilities:

General administration

• Provide full secretarial and administrative support to the Hong Kong Legal Department
• Manage complex calendar, schedule meetings, conference calls and video conferences across multiple jurisdictions and time zones
• Assist with regular legal reporting including cost savings and business continuity matters
• Assist with onboarding of secondees and new joiners
• Coordinate travel arrangements and expense claims
• Maintain departmental filing systems

Litigation and regulatory support

• Providing support to the Legal litigation and regulatory enforcement team in processing and handling incoming legal, bankruptcy and insolvency notices and orders, injunctions, court orders and regulatory submissions.

Billing support

• Process and monitor external legal counsel invoices

• Assist with legal budget tracking and reporting

Your skills and experience:

• Legal secretarial experience of at least 4-6 years
• The candidate should ideally have experience of working either in a law firm or a financial institution
• Written and spoken English and Cantonese skills essential. Mandarin skills desirable
• Advance proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Teams and Outlook
• Proven ability to leverage AI tools to enhance productivity, optimise workflows to solve business problems, while applying critical judgment to ensure responsible and ethical use of data and AI outputs.
