The Operations Administrator plays an important role in supporting the daily operations of the office and operational teams.
By managing administrative processes, coordinating with internal teams and external partners, and maintaining accurate records, this role helps ensure adjusters and operational teams can deliver efficient and high-quality service to clients.
About the Role
Crawford & Company is seeking an Operations Administrator to provide administrative and operational support to adjusters and other team members.
This role involves handling office administration activities, supporting operational processes such as claims administration and billing, coordinating with internal teams and vendors, and maintaining organized documentation and records.
Key Responsibilities
Office Administration
- Handle a full spectrum of administrative activities including mail and courier coordination, stationery management, catering arrangements, and office reception support
- Manage and administer office facilities and equipment to ensure smooth operations
- Control and maintain company certifications, licenses, and annual memberships
- Arrange and coordinate company calendar events, business visits, and conferences
Operational Support
- Support claims administration and billing processes
- Collaborate with and provide support to the Accounting department
- Assist with audits, fact checks, and resolving discrepancies
Coordination & Communication
- Handle communications with clients and vendors
- Process client and vendor contracts according to company procedures and coordinate with Compliance or Legal teams for review
- Coordinate with IT support and Compliance teams when required
Records & Documentation
- Maintain and file records for business project data, client/vendor information, and office documents in accordance with the Records and Information Management Policy
Compliance & Office Policies
- Support coordination of Health, Safety & Environmental (HS&E) policies and notifications in accordance with company policies and local legislation
What we are looking for
Experience & Skills
- Strong organizational and administrative skills
- Ability to manage multiple tasks and priorities
- Strong verbal and written communication skills both English and Mandarin
- Detail-oriented with strong documentation and record-keeping abilities
- Ability to work collaboratively with colleagues, clients, and vendors
Technical Skills
- Proficiency in Microsoft 365
- Basic knowledge of using office equipment such as computers, fax machines, photocopiers, telephones, and other office tools
Qualifications
- Associate degree in Business Administration, Office Management, or a related discipline
