Job Summary
Provide comprehensive administrative and commercial support to ensure the efficient operation of the company in compliance with company policies and local regulations.
Key Responsibilities
- Manage daily administrative operations to ensure efficient office functions and effective implementation of company policies and management directives.
- Prepare, receive, distribute, maintain, and archive company documents, contracts, correspondence, and official records with accuracy and confidentiality.
- Organize meetings by coordinating schedules, preparing meeting materials, and recording meeting minutes and reports.
- Support recruitment activities by screening candidates, coordinating onboarding, processing work pass applications, and arranging employee insurance.
- Oversee office assets, supplies, and administrative resources to ensure smooth day-to-day operations.
- Translate and proofread documents, contracts, correspondence, reports, and speeches between English and Chinese, ensuring accuracy and consistency.
- Provide interpretation support during meetings, negotiations, and business discussions.
- Liaise with government authorities, business partners, and external organizations on administrative and regulatory matters to ensure compliance.
- Review administrative invoices, verify supporting documents, and process reimbursements and payments in a timely manner.
- Respond to ticketing, reservation, e-commerce, and general administrative enquiries while providing timely support to internal and external stakeholders.
- Deliver excellent customer service by handling enquiries, resolving issues, and ensuring customer satisfaction.
- Support e-commerce operations, including website updates, email marketing campaigns, online promotions, and other digital marketing initiatives.
- Process ticket refund requests and handle related administrative matters in accordance with airline policies and procedures.
- Build and maintain strong relationships with customers, partners, and suppliers, while conducting market and product research to identify business opportunities.
- Coordinate the development and distribution of marketing and promotional materials to support sales and branding initiatives.
- Assist with sales support, departmental projects, and other duties or assignments as directed by the Department Manager or Management.
Preferred Competencies and Qualifications
- Bachelor's degree or equivalent, preferably in Business Administration, English, Translation, Human Resources, Accounting,Marketing, or a related discipline.
- Excellent bilingual proficiency in both spoken and written English and Chinese, with Strong communication and documentation skills to manage bilingual correspondence and liaise effectively with Chinese-speaking headquarters and business partners where required by the role.
- Familiarity with Singapore regulations and procedures relating to work passes, immigration, and residency matters is an advantage.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and other common office software.
- Strong organizational skills with keen attention to detail and the ability to prioritize and manage multiple tasks in a fast-paced environment.
- Excellent interpersonal, communication, and coordination skills, with a high level of professionalism, integrity, and discretion in handling confidential information.
- Self-motivated, resourceful, and able to work independently as well as collaboratively in a team environment.
- Possession of a valid Singapore Class 3 driving license is an added advantage.
