The Assistant Operations Manager is responsible for supporting and managing the day-to-day operational activities of Germonizer, with primary responsibility for product management,production coordination, and inventory management.
The role ensures that Germonizer products are properly maintained, production activities are completed according to schedule and quality requirements, and sufficient inventory is available to support sales, projects, tenders, demonstrations, and customer deliveries.
1. Product Management
. Maintain a complete master list of all Germonizer products, models, specifications, accessories, consumables,and packaging.
. Understand the operationalrequirements of each Germonizer product.
. Maintain updated product information including:
o Product specifications
o SKU / item codes
o Supplier information
o Manufacturing information
o Packaging requirements
o Shelf life and expiry dates
o Storage requirements
o Product certificates and supporting documents
. Coordinate with Sales,Technical, Regulatory, Logistics and Management teams regarding product requirements.
. Ensure products required for customer demonstrations, tenders, exhibitions, training and projects are available on time.
. Monitor product changes,upgrades, discontinuations and new product introductions.
. Support the onboarding and operational preparation of new Germonizer products.
. Maintain accurate productdocumentation and operational records.
2. Production Management
. Coordinate and monitor production activities for Germonizer products.
. Prepare production schedules based on sales forecasts, confirmed orders, project requirements and inventory levels.
. Coordinate with internal teams,contract manufacturers, OEM suppliers and external production partners.
. Ensure raw materials,components, labels, packaging and other production materials are available before production begins.
. Monitor production time lines and follow up closely to prevent delays.
. Maintain production records including:
o Production quantities
o Batch / lot numbers
o Manufacturing dates
o Expiry dates
o Rejected quantities
o Completed quantities
. Ensure production follows approved specifications, quality standards and company procedures.
. Coordinate product labelling,packaging and final preparation before products are transferred into inventory.
. Identify production issues and escalate delays, shortages or quality concerns to management.
. Work with suppliers andmanufacturers to improve production efficiency and reduce unnecessary costs.
. Prepare regular productionstatus reports for management.
3. Inventory Management
. Manage and maintain accurateinventory records for all Germonizer products.
. Monitor:
o Finished goods
o Raw materials
o Components
o Consumables
o Accessories
o Packaging materials
o Demonstration units
o Samples
. Maintain appropriate minimum and maximum stock levels.
. Establish reorder points for important products and materials.
. Conduct regular physical stock checks and inventory reconciliation.
. Ensure physical inventory matches the inventory management system.
. Monitor slow-moving, ageing and obsolete inventory.
. Closely monitor products with expiry dates and ensure proper stock rotation using FIFO / FEFO methods where applicable.
. Ensure sufficient stock is maintained for sales orders, government tenders, projects, demonstrations and emergency requirements.
. Coordinate incoming and outgoing inventory with the logistics team.
. Maintain proper documentation for all inventory movements.
. Investigate stock discrepancies and implement corrective actions.
. Prepare monthly inventory reports for management.
