Job Description

Job Responsibilities

  • Assist with department meetings and logistics as needed
  • Coordinate team member calendars and meeting arrangements
  • Assist in drafting basic administrative emails and routine correspondence in accordance with departmental guidelines

  • Provide assistance in maintaining files, records, and databases pertaining to accredited doctors, as well as other members of the medical staff organization, as required

  • Ensure hospital directories are kept up to date, and provide administrative support for name card issuance, official chops, and preparation of orientation materials for doctors

  • Assist with departmental events (e.g. CME activities) when necessary

  • Provide support in updating and maintaining department‑managed website and intranet content as needed

  • Handle the department's hotline and respond to enquiries in a timely and professional manner

  • Maintain the confidentiality of data handled by the department

  • Perform any other duties as assigned by supervisors

Requirements:

  • Associate's Degree or above in a relevant field Bachelor's degree preferred

  • Minimum of 3 years relevant experience

  • Demonstrated computer proficiency, with the ability to work across multiple systems (e.g. MS Office, web browsers, databases, reporting systems), and the ability to learn new software and adapt to project requirements

  • Strong organizational and multitasking skills, with the ability to establish priorities, manage multiple and frequently changing deadlines, and produce high‑quality results in a high‑volume, production‑oriented environment while maintaining a high level of accuracy

  • Excellent verbal and written communication skills

  • Proactive and reliable, with a strong sense of accountability for assigned responsibilities and good interpersonal communication skills.

  • Ability to maintain strict confidentiality, with demonstrated sound judgment and discretion
