Job Summary
We are seeking an experienced Administrative Executive to provide comprehensive administrative and operational support to the Singapore office. The successful candidate will coordinate meetings and travel arrangements, process expenses and invoices, prepare business materials, maintain client information, and support client events.
Responsibilities
- Coordinate meetings, conference calls, and video conferences across multiple time zones to ensure smooth communication and scheduling
- Arrange business travel including flights, accommodation, transportation, and detailed itineraries to support efficient travel planning
- Prepare and process expense claims, reimbursements, and invoices accurately to maintain financial records
- Develop PowerPoint presentations, reports, and meeting materials to support business communications
- Maintain and update client contact information in company systems to ensure data accuracy
- Proofread business materials translated between English and Simplified or Traditional Chinese to ensure linguistic accuracy and consistency
- Assist in organizing client events, roadshows, seminars, and other business activities to enhance client engagement
- Provide administrative and operational support to the Office Manager to facilitate office efficiency
- Deliver backup coverage for other administrative assistants as needed to maintain continuous support
- Perform other administrative duties as assigned to support office operations
Required competencies and certifications
- Diploma or equivalent professional qualification
- Proficiency in Mandarin and Cantonese to proofread Chinese-language materials and communicate with Mandarin- and Cantonese-speaking stakeholders
Preferred competencies and qualifications
- At least five years of relevant administrative or executive-support experience
- Experience within financial services or professional services environments
- Proficient in Microsoft Word, Excel, and PowerPoint
- Proficient in Chinese word processing
- Strong spoken and written English
- Strong organisational and time-management skills to manage multiple priorities effectively
- Detail-oriented, proactive, responsible, and able to work independently
- Strong communication and interpersonal skills
- Flexible team player able to work under pressure and provide support outside standard working hours when required
