Are you as excited as we are when we talk about the storage and distribution of bulk liquids at our state-of-the-art tank containers and terminals in key markets Join us as an Administrative Assistant.

As an Administrative Assistant, you will play a crucial role in ensuring smooth operations within the depot. Your primary responsibilities will include detailed record-keeping of daily gasket consumption, weekly reporting to the Depot Manager, monitoring local purchases, and coordinating with truckers to maintain a clear in/out flow of tanks. You will be integral in verifying tank statuses post-cleaning and coordinating with surveyors, producing cleaning certificates when needed, and ensuring visitor records are meticulously maintained. Additionally, you will facilitate EIR checks and manage the Conterm system updates for tank movements efficiently.

What You Will Be Doing

In your pivotal role as Administrative Assistant, you will engage in various tasks that are essential to the daily operations and overall efficiency of the depot. You will ensure thorough recording of all items purchased locally, such as pressure gauges and bursting discs, to keep the Office Supervisor informed of current stock levels. Maintaining close collaboration with the Depot Manager, you will provide weekly inventory reports and ensure that item usage and purchases are accurately documented in the system. You will interact with truckers to coordinate schedules, ensuring a seamless tank flow in and out of the depot. Using your Microsoft Office and Excel proficiency, you will manage Conterm system updates and document tank inspections, helping maintain operational transparency. Your role also involves producing release orders for tanks and updating tank statuses post-cleaning, awaiting surveyor approval. Lastly, you will maintain a meticulous record of visitor entries in the depot, ensuring all logistics operations run smoothly.

Key Responsibilities

Record daily gasket consumption and report stock to the Depot Manager weekly.

Monitor and update records of locally purchased items such as pressure gauges and bursting discs.

Ensure proper implementation of completed order checks and confirm correct fitting of gaskets.

Update tank cleaning status and obtain survey confirmations for clean conditions.

Provide and maintain cleaning certificates upon request.

Complete EIR checks for tanks entering the depot and promptly report any damages.

Coordinate with truckers to ensure depot flow is efficient and clear.

Generate tank release orders when necessary.

Maintain detailed records of all visitor entries and ensure compliance with security protocols.

Qualifications

College graduate

3 years of working experience

Proficiency in tank inspection and Microsoft Office, especially Excel

What We Offer

A full-time and permanent role

Working hours: 5 days work week (Monday Friday), 8.30am to 5.30pm
