Job Description:
We are seeking an
Activation Manager & Executive Assistant to the MD. This role will be responsible for
optimizing daily organizational operations, internal and external collaboration, project facilitation, domestic/international award submissions, management of the MD office, and meeting coordination. The primary goal is to assist the team in
enhancing operational efficiency and revitalizing the organization.
This role goes beyond mere execution; it requires a partner who operates with high efficiency, thinks and judges independently, integrates resources, drives projects forward, and provides proactive recommendations and solutions.
Key Responsibilities
- Executive Support: Manage the Managing Director's schedule and ensure internal/external collaboration flows smoothly to meet timelines and quality standards.
- Organizational Activation: Consolidate organizational activation projects and MD requirements to develop creative solutions that optimize operations.
- Cross-functional Collaboration: Partner with the MD, Marketing, and Business Divisions to ensure necessary support is provided and organizational influence is maximized.
- Meeting Management: Organize weekly management meetings and monthly general meetings, ensuring timely participation and effective flow.
- Award Submissions: Support domestic and international award entry processes, ensuring on-time submission and assisting in the packaging and storytelling of entry content.
Requirements
- Experience: Minimum of 2 years of experience in a secretarial or executive assistant role.
- Core Skills: Exceptional communication, logical thinking, project management, and presentation skills.
- Autonomy: The ability to handle critical tasks independently.
- Technical Proficiency: Mastery of Microsoft Office (Word, PowerPoint, Excel, Outlook).
- Adaptability: Proven ability to maintain flexibility and execution power in a fast-paced, changing environment.
Bonus Points (Preferred)
- Prior experience in Marketing Communications, Advertising, or specialized Executive Support.
